It does not create an inbox or add a mailbox interface to your WordPress dashboard.
The reliable process is to install a mail-delivery plugin, select a connection method your provider supports, authenticate the sender, and test both the plugin and the WordPress feature that needs to send mail.
Choose how WordPress will send email
WordPress sends mail through its wp_mail() function. An SMTP or mailer plugin connects that function to an authenticated provider instead of relying only on the web server’s default mail system.

Choose the route your provider currently documents. Do not copy a generic host-and-port table from an old tutorial: the correct values, authentication method, and sender rules belong to the specific account.

Before you configure anything
- List the messages WordPress must send: form alerts, password resets, store notifications, membership mail, or other site-generated messages.
- Decide which address and display name should appear in the From field.
- Confirm that you control the mailbox or domain and can authorize applications if an API/OAuth connection requires it.
- Obtain current settings from the email provider or the account administrator. Never post passwords, API keys, OAuth secrets, or app credentials in a public support request.
- Check whether your web host restricts outbound SMTP connections or requires a particular port.
Step-by-step: connect the account
1. Install a compatible mailer plugin
In WordPress, open Plugins > Add New Plugin, search for an SMTP or mailer plugin, install it, and activate it. Examples listed in WordPress plugin directories include WP Mail SMTP, FluentSMTP, and Post SMTP. Features and provider integrations differ, so verify that the plugin supports your chosen route before committing to its setup.
2. Set the sender identity
Open the plugin’s mailer settings and enter the sender name and sender email address. Use an address that the provider permits the site to send as. WordPress troubleshooting guidance notes that the default sender may be [email protected] with the name “WordPress”; a real, authorized address is safer than leaving an unintended default.

3. Select SMTP, OAuth, or an API
For a generic connection, choose a label such as Other SMTP and enter the provider’s current SMTP server, port, encryption setting, username, and authentication details. For a direct provider integration, choose the matching Gmail/Google Workspace or Microsoft 365/Outlook mailer and follow the plugin’s authorization flow. API/OAuth setup may open the provider’s sign-in and consent screen or require an application to be registered first.
4. Apply provider-specific authentication rules
Do not assume that a mailbox password, an app password, or basic SMTP authentication is accepted. Google, Microsoft, hosting companies, and other providers can restrict basic authentication or require an approved OAuth/API flow. Follow the provider’s current instructions for the account and the plugin’s current integration guide.

5. Save and send a test email
Use the plugin’s built-in test-email screen, enter an address you can check, and send the test. A successful result confirms that the plugin could hand a message to the selected mailer; it does not prove that every form, store, or membership message is configured correctly.
6. Trigger a real WordPress message
Submit the contact form, request a password reset, place a test order, or perform the actual action that should generate mail. Confirm the recipient, sender, subject, links, and formatting. If the plugin provides logs, inspect the message record and any returned error.

Troubleshoot a failed connection
Authentication or authorization errors
- Re-enter the username and secret, checking for copied spaces or an expired credential.
- For OAuth/API, revoke and repeat authorization if the wrong account was selected or consent was incomplete.
- Confirm that the provider allows the selected authentication method and that the integration has the required permissions.
Sender or domain errors
Make the sender address one the mail server or provider authorizes. A sender on a domain that the server does not handle can be rejected. If your plugin separates “From” and “Reply-To,” keep the authenticated account as the sender and use a visitor’s address only as the reply-to address when appropriate.
Connection timeout, refused connection, or blocked port
- Recheck the server name, port, and encryption mode against the provider’s current documentation.
- Ask the host whether outbound SMTP traffic on that port is blocked by a firewall or hosting policy.
- Try the provider’s API/OAuth mailer if it is supported and SMTP is restricted.
The test succeeds but the site feature does not send
- Check the form, store, or membership plugin’s notification recipient and enable its email event.
- Look for a queue, log entry, or error generated at the time of the real action.
- Verify that the feature is calling WordPress mail and is not configured with a separate mail service.
The message is not in the recipient’s inbox
A successful SMTP or API handoff is not an inbox-placement guarantee. Check spam and quarantine folders, recipient-server rules, and the provider’s delivery logs where available. Keep the sender address authorized and consistent with the domain and account you configured.

What this setup does—and does not do
- It routes WordPress-generated outgoing messages through an authenticated mailbox or mail service.
- It can provide clearer test results and, when supported by the plugin, mail logs for diagnosing failures.
- It does not create a mailbox, import incoming mail, or display an inbox in WordPress.
- It does not by itself guarantee delivery or inbox placement.
- You do not normally need to enter an IP address; a WordPress.org support response explains that the provider assigns the mail server’s IP. Confirm account-specific requirements with the provider.
When to use each option
Use SMTP when you already have a supported mailbox
This is the most direct choice for a hosting mailbox or business email account when the provider supplies working SMTP credentials and permits the site’s sender address.
Use OAuth or an API when the provider prefers modern authorization
Select this route when the plugin offers a maintained integration and the provider requires delegated authorization instead of a basic password connection.
Use a transactional service for a service-oriented setup
Consider a dedicated service when your team needs service-specific monitoring, separation from personal mail, or a sending architecture designed for automated messages. Choose only after checking the service’s current WordPress integration and account requirements.
