In Excel for the web, open the workbook, select the cells or worksheet you need, then choose File > Print > Print. In the print preview, choose the appropriate scope, select Print, and choose Save as PDF (or the equivalent PDF destination) in your browser or operating system’s print dialog.
Use Excel’s own Print command rather than the browser’s generic Print command. Microsoft says this produces the best results for worksheets.
Convert an Excel web page to PDF
- Open the workbook. Sign in to Excel for the web in your browser and open the workbook. Excel for the web is Microsoft’s browser-based workbook editor and viewer.
- Choose the content. To export only part of a worksheet, drag across the required cells so the range is selected. To print a complete worksheet, leave the sheet unselected.
- Open Excel’s print view. Select File > Print > Print. Excel opens a print-suitable view, which may appear in a new browser tab or window.
- Set the print scope. Choose the option that matches your goal: Current Selection, Active Sheet, Entire Sheet, or the available workbook scope.
- Inspect the preview. Check that columns are not clipped, page breaks occur in sensible places, scaling is readable, and no blank pages were added.
- Save the PDF. Select Print. In the system or browser print dialog, choose Save as PDF (the wording can differ by browser and operating system), choose a folder and filename, and save.
For a workbook with several sheets, select each sheet tab and repeat the print process for that worksheet. Excel for the web’s print flow is designed to print the sheet you are viewing rather than silently combining every tab.

A selection is the safest way to prevent notes, helper formulas or unrelated columns from appearing in a short PDF. If you need the whole sheet, do not leave a stale cell range selected from an earlier edit.

Check wide tables
Scroll through every preview page. A wide worksheet can split columns across pages or make text too small to read. Narrow the selected range, remove unnecessary columns from the print selection, or adjust the worksheet layout before reopening Print.
Check page breaks and blank pages
Look for a nearly empty final page, a heading separated from its table, or a total placed on another page. Change the selection or the sheet’s layout, then run File > Print > Print again. The preview, not the editing grid, is the reliable view of what the PDF will contain.
Check hidden content
Hidden rows and columns are not printed by Excel for the web. Unhide anything that must appear, verify it in the worksheet, and then print again. This is especially important for columns containing totals or labels that were hidden to make on-screen editing easier.

Excel for the web cannot insert, view or print page numbers. If the PDF must have page numbers in headers or footers, open the workbook in desktop Excel and use its page-layout and print settings instead.

Tables larger than 10,000 cells
Excel for the web supports printing a table as a current selection only when it has fewer than 10,000 cells. Microsoft directs users to the desktop app for the table-print workflow when the table is larger. If your selection exceeds that limit, open the file in desktop Excel or reduce the range and print in sections.
Pop-up blocking
The print-suitable view can open in a new tab or window. If nothing appears after selecting File > Print > Print, temporarily allow pop-ups for the Excel or Microsoft 365 site, repeat the command, and close the extra tab after saving.

Stay in Excel for the web when you need a quick PDF of a selected range or a current sheet and the preview looks correct. Use desktop Excel when page numbers, complex print areas, or a table over the documented 10,000-cell threshold are essential.

The PDF contains the wrong cells
Cause: A range was selected when you intended to print the whole sheet, or the selection changed before printing.
Fix: Click away from the range, choose the worksheet scope in print view, and inspect the preview before saving. For a partial PDF, select the range again immediately before opening File > Print > Print.

Rows or columns are missing
Cause: They are hidden in the worksheet.
Fix: Unhide the relevant rows or columns, confirm the data is visible in the grid, and print again.
The print preview never opens
Cause: The browser blocked the new tab or window used by Excel’s print view.

Fix: Allow pop-ups for the Excel site, then repeat File > Print > Print. Do not switch to the browser’s generic Print command unless Excel’s own flow is unavailable; Microsoft recommends Excel’s command for worksheet output.
The worksheet is split across unreadable pages
Cause: The selected range is wider than the printable page or contains many columns.
Fix: Remove nonessential columns from the selection, print logical sections separately, or use desktop Excel for more advanced page-layout controls. Always judge the result from the preview.
Page numbers are absent
Cause: Excel for the web does not support inserting, viewing or printing page numbers.
Fix: Open the workbook in desktop Excel and configure page numbers in its header or footer settings.
A large table will not print as a current selection
Cause: The table has 10,000 cells or more.
Fix: Use desktop Excel, or select and print smaller sections that stay below the Excel for the web limit.
