To capture text that is currently on your screen, choose Image in Snagit Capture, set Selection to Grab Text, start the capture, and drag over the words. In Snagit Editor, choose Copy All in Grab Text Results, then paste the recognized text where you need it. If the screenshot is already open in Editor, right-click it on Windows or Control-click it on Mac and choose Grab Text.
Choose the right Grab Text workflow
There are two ways to start: capture text directly from the screen, or run Grab Text on an image already in Snagit Editor. Both produce recognized text that you can copy and paste; neither guarantees that the original layout or formatting will be preserved.

Use the first route when you want to extract text from an application or webpage without first making and opening a regular screenshot. Use the Editor route when the image already exists, such as a saved screenshot. If you only need a small part of an image, work on that region rather than asking Snagit to process an unnecessarily large capture.
Capture text from the screen
- Open Snagit Capture and select the Image tab. Grab Text is a capture selection, rather than a video capture mode.
- Open Selection and choose Grab Text. This tells Snagit to recognize text in the area you select.
- Start the capture. Click the Capture button or use your configured shortcut. Snagit Help 2023 lists Print Screen for Windows and Shift+Ctrl+C for Mac, but shortcuts can vary with version and user configuration. Check the shortcut shown in your Capture settings instead of assuming those keys apply to every installation.
- Select the text region. When the orange crosshairs appear, drag around the words you want. Keep the selection close to the text, especially if the screen also contains nearby buttons, borders, or other labels.
- Copy the recognized result. Snagit opens Grab Text Results in Editor. Choose Copy All, then paste into a document, email, spreadsheet, or other destination.
- Return to your usual capture mode when finished. Change the Selection option in the Capture window if you do not want later captures to keep using Grab Text.
Extract text from a screenshot already in Snagit Editor
- Open the screenshot in Snagit Editor.
- Right-click the image on Windows, or Control-click it on Mac.
- Choose Grab Text.
- In Grab Text Results, choose Copy All and paste the output into the application where you want to use it.
If the full image contains several unrelated areas, first focus the operation on the portion you need. Smaller selections are easier to review and avoid spending time processing irrelevant parts of a long screenshot.

Get more accurate OCR results
OCR can only work with the visual information in the image. Snagit’s recognition is more likely to be useful when the text is legible, large enough to read, and clearly distinguished from its background. Before running Grab Text, check the image for these common trouble spots:
- Low contrast: Text that blends into its background is harder to detect. A clear light-on-dark or dark-on-light contrast is preferable.
- Small text: If the type is too small to read comfortably on screen, Snagit may fail to find it. Enlarge the image or capture a clearer, closer view when possible.
- Slanted text: Angled words may be missed. Rotate the image so the text is level, then run Grab Text again.
- Boxes and borders: A bounding box can interfere with recognition. Select only the text inside the box rather than including its outline.
- Decorative effects: Shadows and outlined letters can lead to inaccurate or missing characters. If possible, use a plain-text source or a cleaner image.
- Unusual characters or writing: Glyph or symbol fonts, accented characters, handwriting, and cursive are listed by TechSmith as possible problem cases. Carefully proofread their results.
- Very large images: A huge scrolling or panoramic capture can take a long time to process. Crop or select a smaller relevant area first.
After copying, proofread the text before relying on it. Pay particular attention to similar-looking letters and numbers, punctuation, line breaks, and characters in names or codes. OCR output is editable text, not a promise of a perfect transcription or a faithful copy of the screenshot’s formatting.

Grab Text is for extraction, not for rewriting image text
Grab Text extracts recognized words so you can copy them elsewhere. It is different from editing text that appears within an image. TechSmith’s best-practices guidance describes a separate Edit Text workflow that uses OCR to identify text and substitutes a common font family—for example, Courier New for monospace, Times New Roman for serif, or Arial for sans serif. That mapping does not mean Snagit has recovered the exact font or original layout. If your goal is simply to reuse the wording, Grab Text and Copy All are the relevant steps.
Version notes for Snagit users
Feature behavior and shortcuts can change between releases. Snagit Windows version history identifies improved OCR processing as an experimental feature in version 2026.0.0, so do not assume that improvement is enabled for every user. The same Windows history records OCR licensing maintenance in 2026.1.1 and a crash fix affecting Copy All in Grab Text Results in 2026.2.0. These are Windows-specific release notes; they do not establish identical availability or behavior on Mac. If Copy All fails, check that Snagit is current and that your installation’s version and platform match the relevant release notes.

Troubleshooting Grab Text

Why does Snagit recognize ordinary text but miss handwritten notes or stylized lettering?
Handwriting, cursive, glyph or symbol fonts, accented characters, outlined text, and shadows are among the cases TechSmith identifies as difficult for OCR. Use a clearer source or transcribe and check those portions manually.
