For a picture in an Excel worksheet, use Insert > Screenshot to capture an open window or a selected part of the screen, or paste a screenshot you have already captured. For a screenshot of a table that you want to turn into editable cells, use Data > From Picture on Windows or Data > Data from Picture on Mac instead. These are different workflows: inserting a picture preserves it as an image; Data from Picture attempts to recognize its contents as data.

Which Excel screenshot shortcut or command should you use?

Take a general Windows screenshot for later use Press Windows+PrtScn on supported devices. If there is no PrtScn key, Microsoft lists Fn+Windows+Space Bar as an alternative. Press Shift+Command+3 for the whole screen or Shift+Command+4 for a region. A captured image that can be inserted into Excel later. On Windows, the documented save location is Pictures > Screenshots. The shortcut depends on the destination. Windows+PrtScn is a general Windows capture shortcut; Windows+Shift+S is the clipping step in the documented Windows clipboard-to-Data-from-Picture workflow. Neither shortcut by itself inserts an image into a worksheet. For a visual screenshot, the Excel Screenshot command or a normal image paste is the direct route.

Capture and insert a screenshot in Excel on Windows

Capture a whole open window or a selected area

  1. Select the worksheet cell or location near where you want the picture.
  2. Choose Insert > Screenshot in Excel’s Illustrations group.
  3. Under Available Windows, click a window thumbnail to add that whole window. To capture only part of a screen, choose Screen Clipping, drag across the desired area, and release.
  4. Select the inserted picture and use the Picture Format tools if you need to crop or adjust it.

The in-app gallery is useful when the source window is open and you want the capture placed directly into the document. If the ribbon in your installed Excel release uses different labels, look in the Insert tab’s illustration or picture commands. Microsoft’s documented versions include Microsoft 365, Excel 2024, 2021, 2019, and 2016.

Capture with Windows shortcuts, then insert the saved image

To capture the screen using Windows, press Windows+PrtScn on a supported device; Microsoft says the screenshot is saved under Pictures > Screenshots. If your keyboard has no PrtScn key, Microsoft gives Fn+Windows+Space Bar as an alternative. Open the saved file or copy it, then in Excel choose Insert > Pictures to select the file, or paste a copied image.

Some laptops map capture keys differently or require an Fn key. If a shortcut does not behave as expected, use Excel’s Screenshot gallery or your keyboard maker’s documented key combination rather than assuming every keyboard responds identically.

Capture and use a screenshot on Mac

For a visual screenshot, Shift+Command+3 captures the whole screen and Shift+Command+4 lets you select a region, according to Microsoft’s Office guidance. You can then insert the captured image into Excel, or use Excel’s Insert > Screenshot gallery for an open window or screen clipping where the command is available.

If your goal is to turn a captured table into values rather than keep it as a picture, Microsoft documents this specific clipboard path: press Shift+Control+Command+4, select the table clipping, then in Excel choose Data > Data from Picture > Picture From Clipboard. This is not interchangeable with the general Mac screenshot shortcuts: it is the stated capture step for the table-recognition workflow.

Choose whether a picture floats over cells or sits in a cell

Picture over the grid

When an image is in the clipboard, ordinary Ctrl+V on Windows pastes it over the worksheet grid by default. You can also use Insert > Pictures to select an image file. A picture over cells can be positioned and resized on the sheet independently of the cell’s contents.

Picture placed in a cell

To make a picture move and resize with a cell, right-click the destination cell and choose Paste Picture in Cell when the image is on the clipboard. Or use Insert > Illustrations > Pictures > Place in Cell and select the source. Microsoft also describes converting a picture over cells to a picture in a cell and back. Place in Cell is documented for Excel for Microsoft 365 and Excel 2024; available commands may depend on your Excel version.

Microsoft lists these supported formats for pictures in cells: JPG/JPEG, PNG, BMP, ICO, WEBP, TIF/TIFF, and GIF that is not animated. For a meaningful image, add alt text so screen-reader users can understand what it shows; without alt text, a screen reader may announce only that a picture is present. Turn a screenshot of a table into editable Excel data

Inserting a screenshot cannot make the numbers or text inside it editable as cells. Use Data from Picture when you want Excel to recognize a table. Recognition is a reviewable conversion, not a guarantee that every character or column will be interpreted correctly.

  1. Capture only the table. Use a focused, head-on image and crop unrelated material where possible. For a clipboard clipping, use Windows+Shift+S on Windows or Shift+Control+Command+4 on Mac.
  2. Open the clipboard import command. On Windows, choose Data > From Picture > Picture From Clipboard. On Mac, choose Data > Data from Picture > Picture From Clipboard. The corresponding Picture From File command can be used when you already have an image file.
  3. Review before inserting. Wait for Excel to analyze the image, inspect the preview, correct recognition issues, and select Insert Data when the result is right.

On Windows, Microsoft specifies Windows 11 or Windows 10 version 1903 or later and the Edge WebView2 Runtime for Data from Picture. Its documentation lists character-set support for English, Bosnian, Croatian, Czech, Danish, Dutch, Finnish, French, German, Hungarian, Italian, Norwegian, Polish, Portuguese, Romanian, Serbian, Slovak, Slovenian, Spanish, and Turkish. The feature is also documented for Microsoft 365 and Excel for the web, macOS, and mobile, with platform-specific steps. Check Microsoft’s current instructions for your edition and language if the command is missing or the text is not recognized as expected. These requirements concern Data from Picture, not ordinary screenshot insertion.

Troubleshooting common problems

There is no Screenshot command in the Insert tab

Check the Insert tab’s Illustrations area and confirm you are in the desktop Excel application and a supported release. Microsoft’s screenshot instructions cover Microsoft 365, Excel 2024, 2021, 2019, and 2016. If your ribbon is customized or condensed, search the Excel commands or use Insert > Pictures with an already captured image.

The shortcut takes a screenshot but nothing appears in the worksheet

A Windows screenshot shortcut captures an image; it does not necessarily paste it into Excel. For a direct window or clipping capture, use Insert > Screenshot. If you used Windows+PrtScn, find the file in Pictures > Screenshots and insert it with Insert > Pictures.

Data from Picture is missing or unavailable

First distinguish the import feature from picture insertion: Data from Picture is for recognizing table contents. On Windows, check for Windows 11 or Windows 10 version 1903 or later and the Edge WebView2 Runtime. Also check that the Excel edition and language are supported in Microsoft’s current feature documentation. A missing or unsupported feature does not prevent ordinary image insertion.

Recognized cells contain errors

Recognition can misread characters, boundaries, or values, so inspect the preview before choosing Insert Data. Improve the source by selecting a tight table crop, avoiding skew, glare, and unrelated screen content, and correcting errors in the preview. If the result is not useful, keep the screenshot as an image or enter the values another way rather than treating the conversion as verified data.

The image is misplaced or does not move with its row

A normal paste places a picture over cells. If it should move and resize with a particular cell, use Paste Picture in Cell or Place in Cell where supported. Confirm that the image format is among the supported in-cell types and that your Excel version includes the feature.

FAQ

Can Excel take a screenshot with one keyboard shortcut?

There is no single shortcut that means the same thing across all these tasks. Windows+PrtScn captures a general screenshot; Windows+Shift+S supplies a clipping for the Windows Data from Picture clipboard route. For direct visual insertion, Excel’s Insert > Screenshot command is the straightforward built-in option.

Can Excel take a screenshot of a website and make its table editable?

A webpage screenshot inserted as a picture remains an image. To attempt conversion of a visible table into cells, use Data from Picture and review the recognized result before insertion.

Can I use a screenshot as a worksheet formula image?

Microsoft’s IMAGE function inserts images into cells from a source location along with alternative text. It is a separate image-in-cell function, not a screenshot shortcut. See Microsoft’s IMAGE function documentation.
