In Excel for Microsoft 365, copy a table screenshot to the clipboard and choose Data > From Picture > Picture From Clipboard, or choose Data > From Picture > Picture From File for an image saved on your computer. Excel reads the visible table, shows a preview with detected issues, and lets you correct errors before selecting Insert Data.
What Excel can—and cannot—convert
Data from Picture is designed to extract tabular values from a screenshot or image and place them in editable worksheet cells. It is not a general screenshot-to-workbook converter: it does not recreate an entire web page, preserve a chart as a chart, or reproduce a full visual layout as an Excel design. The useful input is a clear picture of a table with rows and columns.
The workflow is documented for Excel for Microsoft 365. Microsoft lists versions and controls for Windows, the web, macOS, and iOS/Android, but labels and button locations can differ by platform. The conversion is OCR-assisted, so the review screen is part of the process rather than an optional extra.
Prepare the screenshot for the best result
Crop to the table
Keep only the table, its headers, and any row or column labels needed to interpret the values. Crop out browser chrome, sidebars, advertisements, unrelated text, and empty margins. A tighter image gives Excel fewer objects to misread as cells.

Use a straight, focused image
Microsoft recommends an image that is focused and viewed head-on rather than at a perspective angle. Avoid skew, glare, heavy compression, tiny text, and overlapping interface elements. If the source is a screen capture, zoom the table until text is legible before capturing it.
Check the language
Microsoft lists support for these character sets: English, Bosnian, Croatian, Czech, Danish, Dutch, Finnish, French, German, Hungarian, Italian, Norwegian, Polish, Portuguese, Romanian, Serbian, Slovak, Slovenian, Spanish, Swedish, and Turkish. If a table uses another writing system, expect recognition to require substantial manual correction or a different workflow.
Convert a copied screenshot in Excel for Windows
- Display the table and capture it with your operating system’s screenshot tool. Make sure the capture is copied to the clipboard; crop it first if necessary.
- Open Excel for Microsoft 365 and select the worksheet cell where the upper-left corner of the imported table should appear.
- Open Data > From Picture > Picture From Clipboard.
- Wait while Excel analyzes the image. A preview lists the cells it detected and flags items it believes need review.
- Inspect every flagged item and compare the preview with the original screenshot. Correct characters, decimal separators, dates, negative signs, merged-looking headers, and blank cells where needed.
- Select Insert Data. Excel writes the reviewed result into the worksheet as editable cells.
Do not skip the preview for financial, scientific, inventory, or otherwise consequential data. OCR can confuse characters such as 0 and O, 1 and l, decimal points and commas, or a minus sign and a dash. The source image determines what Excel can recognize.
Import a saved image file
- Save the screenshot as an image file in a format Excel can open, and crop it to the table.
- In Excel, select the destination cell.
- Choose Data > From Picture > Picture From File.
- Select the image. Excel analyzes it and opens the same review interface.
- Resolve detected issues by checking the image, then select Insert Data.
This route is useful when the image came from an email, a document, a downloaded report, or another computer and is not currently on the clipboard.
Use Data from Picture on a phone or tablet
- Open the Excel mobile app on iOS or Android.
- Tap Insert > Data from Picture.
- Frame the table with the camera or choose an existing image, then crop it so the table fills the frame.
- Review the detected issues shown by Excel and correct them against the original.
- Insert the result into the workbook.
Microsoft notes that exact controls vary by platform. Hold the device parallel to the page or screen, avoid shadows, and keep all required rows and columns inside the crop.

Use the Microsoft 365 app’s Image to Table action
The Microsoft 365 app also documents an image-to-table route. Open the app, choose Actions > Image to Table, preview and review the recognized data, then open the result in Excel. This can be convenient when the image is already on a phone, but the same verification principle applies: inspect the extracted values before relying on them.
Windows requirements and platform differences
Windows desktop
For Excel on Windows, Microsoft specifies Windows 11 or Windows 10 version 1903 or later and the Microsoft Edge WebView2 Runtime. If the Data from Picture command is missing or the preview does not open, check that your Microsoft 365 installation is current and that WebView2 Runtime is installed.
Web and macOS
Microsoft’s support documentation includes Excel for the web and macOS, but menus and available input choices can differ from Windows. Look under the Data tab for a From Picture command and follow the review-and-insert flow presented by your edition.
iOS and Android
The mobile path is Insert > Data from Picture. Camera framing and cropping controls differ between iOS and Android, so use the labels shown in your app rather than assuming the desktop menu names are present.
How to verify the converted worksheet
Compare structure
- Confirm the number of header columns and data rows matches the screenshot.
- Check that a wrapped header was not split into an extra row.
- Look for shifted values where a narrow column or blank cell caused alignment to move.
- Verify that totals, subtotals, and footnotes were not mistaken for ordinary data rows.
Compare values
- Check every flagged cell first, then scan unflagged cells in high-risk columns.
- Verify decimal and thousands separators, currency symbols, percentages, dates, and leading zeros.
- Check IDs, postal codes, invoice numbers, and account numbers as text when leading zeros matter.
- Compare negative values and parentheses with the source image.
Format after insertion
Once the values are correct, apply Excel number formats, convert the range to a table if useful, freeze the header row, and add filters. Formatting after insertion makes it easier to distinguish an OCR correction from a visual formatting change.

Troubleshooting common failures
The From Picture command is missing
Confirm that you are using an Excel edition covered by Microsoft’s Data from Picture documentation and that Microsoft 365 is updated. On Windows, verify Windows 10 version 1903 or later or Windows 11, plus the Edge WebView2 Runtime. Your organization may also restrict feature availability through its Microsoft 365 deployment.
Excel cannot read the clipboard image
Recapture the table and ensure the screenshot is actually copied, not merely saved. Paste it into an image editor to confirm that the clipboard contains the intended crop, then retry Data > From Picture > Picture From Clipboard. If necessary, save the image and use Picture From File.

Retake the image at a larger scale, crop away unrelated content, straighten perspective, and improve focus or lighting. Dense tables with tiny fonts, faint gridlines, or compression artifacts may need to be split into smaller, overlapping sections and imported separately. Recheck the row and column boundaries after combining the sections.
Columns or rows are shifted
Look for blank cells, merged headers, and vertical lines that are hard to see. Crop more tightly and use a head-on image. In the review pane, correct the first shifted row and then inspect all rows below it; one missed blank cell can move an entire sequence.
Characters are consistently wrong
Check whether the table uses a character set outside Microsoft’s listed support. For supported languages, improve image quality and correct the preview manually. Treat unfamiliar symbols, accented characters, and scientific notation as items requiring direct comparison with the source.

The inserted data is in the wrong worksheet location
Before starting the command, select the cell that should become the upper-left corner. If the result is already inserted elsewhere, select the imported range, cut it, and paste it into the intended location after verification.
When a screenshot is online: obtain a cleaner source image
If the table is on a web page, a browser screenshot may include cookie banners, newsletter popups, or chat widgets that obscure cells. Performance, reliability, and cost considerations
Image preparation affects accuracy more than file format
PNG, JPEG, and WebP can all be useful sources, but a sharp, high-resolution crop matters more than choosing one extension. Avoid repeatedly recompressing a screenshot. For a long page, capture the table element or full page at a scale that keeps text readable, then crop before importing.
Split very large tables carefully
If one image is too dense to read, capture sections with repeated header rows. Keep a stable identifier column in each section so you can align and deduplicate rows in Excel. Do not assume two separately recognized sections will preserve identical column boundaries without checking.
Protect sensitive data
Screenshots may contain personal, financial, or confidential information. Use an approved Microsoft 365 account and follow your organization’s rules before sending an image to any external service. Remove unnecessary columns and redact data when the conversion does not require it.

Retain the original screenshot alongside the corrected workbook when the data matters. The image is the source record; the worksheet is the editable transcription. Recording corrections makes later verification possible.

Does Data from Picture preserve the original table formatting?
It extracts table data into worksheet cells; it is not documented as reproducing the source page’s complete visual layout or chart formatting.
Can I convert a screenshot of a chart into editable Excel data?
The documented feature is for tabular data. A chart image is not the same as a source table, so do not expect a faithful chart or underlying dataset to be reconstructed.
Do I need a separate OCR application?
No. The documented Excel, mobile, and Microsoft 365 app workflows provide the image-to-table conversion. A separate service is optional when you need to obtain a cleaner web screenshot.
