Select every cell you want, choose As shown on screen and Picture, then paste the result into a document or image editor. If the worksheet is larger than your screen, Excel does not offer a documented one-click “export entire sheet as image” command. Instead, configure the sheet in Page Layout > Page Setup, fit it to an appropriate number of pages, preview it, and print to a file (usually PDF) before converting that file to an image.
Choose the method that matches what you need

Do not confuse a sheet background with an export. Excel backgrounds are display-only and are not printed.
Capture a selected range with Copy as Picture
1. Select the complete area
Drag across the cells that must appear, or click the first cell and use Shift with the arrow keys. Include headings, totals and any blank spacer rows that are part of the intended layout. Excel’s command copies the current selection; it does not infer the worksheet’s used range or automatically include distant cells.
2. Open the command
- With the range selected, open the Home tab.
- In the Clipboard group, open the Copy drop-down.
- Choose Copy as Picture.
3. Set appearance and format
In the Copy Picture dialog, choose:
- Appearance: As shown on screen for the quality Microsoft recommends.
- Format: Picture rather than a bitmap option when available.
This combination copies the selection at its original size even if you temporarily reduced worksheet zoom. It does not create a file yet; it places a picture on the clipboard.

4. Paste and save
Paste into Word, PowerPoint, an email, Paint, Preview, or another image editor. If you paste into an editor, use its export or Save As command to create PNG, JPEG or another required format. When pasting directly into an Office document, resize from a corner so the aspect ratio remains intact.
5. Remove gridlines when required
Gridlines are part of the on-screen appearance. Before copying, clear View > Show > Gridlines if the image should show only borders and cell contents. This setting changes the worksheet view, not the underlying data.
Capture a worksheet larger than the screen
For a genuinely full worksheet, use print layout rather than trying to stitch together multiple screenshots. The print workflow gives you control over paper size, orientation, margins and page count, but it may split the sheet across pages or reduce readability if you force too much content onto one page.
1. Check the intended print area
Look for an existing print area before changing layout. Excel prints only the defined print area unless you choose Ignore print area in the print settings. A stale print area is a common reason a supposedly full-sheet output contains only a small block.

- Open the Page Layout tab.
- In the Page Setup group, open the dialog launcher.
- Review the Page, Margins, Header/Footer and Sheet tabs.
The exact labels can vary slightly between Microsoft 365, Excel 2024, Excel 2021 and older desktop releases, but the Page Setup workflow is the same in principle.

3. Set orientation and paper size
Use Landscape for wide tables and Portrait for narrow, tall sheets. Select a paper size that matches the eventual document or printer. A larger paper size can preserve legibility, while a smaller one may create more pages.
4. Choose scaling deliberately
In the Page Setup scaling controls, either set a percentage or choose Fit to a specified number of pages wide and tall. Fitting a wide financial model to one page wide can produce unreadably small text; allowing two or more pages wide often gives a better image. Use the fewest pages that preserve readable labels and numbers rather than automatically choosing one page for everything.
5. Set margins and repeating headings
Reduce excessive margins only after checking that headers, footers and row labels still have enough space. If the sheet spans several pages, the Sheet tab can repeat title rows or columns so each printed page remains understandable. Repeated headings are especially important when the final PDF will be converted into separate images.

6. Preview before creating the file
Open File > Print and inspect every page in preview. Check the first and last columns, page breaks, clipped text, hidden rows and columns, and whether totals appear on the intended page. Change the scaling or page breaks and preview again until the result is legible.
7. Print to a file
Choose your operating system’s PDF printer or another print-to-file option, then save the output. Excel’s documented print workflow is the practical route for a worksheet that extends beyond the screen; the resulting PDF is paginated, not a single unbroken canvas.

Turn the printed output into an image
One image per page
Open the PDF in an image editor or PDF application that supports raster export and export each page as PNG or JPEG. PNG is usually preferable for tables because it preserves sharp text and grid borders without lossy compression. Keep the original PDF as an archival copy.
One tall image
If you need one long image, export the pages at a consistent resolution and combine them vertically in an image editor. Align page edges carefully and remove duplicate repeated headings only if the reader will not lose context. A very tall image can be difficult to view and may exceed limits in email, document or web systems.
When a PDF is the better deliverable
Use the PDF itself when selectable text, searchable values, page numbering or print fidelity matter more than a single bitmap. An image is useful for a slide, web page or design mock-up, but it is less accessible and cannot preserve formulas or cell-level selection.
Quality and layout checks
- Legibility: Zoom the exported image to 100 percent and read the smallest labels. If they are already difficult to read, reduce the fit-to-page constraint or use a larger paper size.
- Completeness: Confirm the last populated row and column are included. Selecting a rectangular range that is too small is the most common Copy as Picture error.
- Gridlines and borders: Decide whether you want view gridlines, explicit cell borders, both or neither before copying.
- Hidden content: Hidden rows and columns generally do not appear in the copied or printed result. Unhide anything that belongs in the deliverable.
- Print area: Clear or ignore an old print area when the goal is the whole worksheet.
- Scaling: Compare a one-page fit with a multi-page fit. The smaller page count is not automatically the more useful image.
- Color: Check the preview and the final export on the device where it will be viewed; printer settings and PDF viewers can alter color appearance.
Common problems and fixes
Only part of the worksheet was copied
Cause: Copy as Picture uses the current selection. Fix: select the full intended range first, including columns or rows that contain content farther from the main table.
The image contains gridlines I do not want
Cause: gridlines were enabled in the worksheet view when the picture was copied. Fix: turn off View > Show > Gridlines, then run Copy as Picture again.

The printed file contains only a small section
Cause: a defined print area is restricting output. Fix: review the Sheet tab in Page Setup and select Ignore print area in print settings when appropriate.
The text is tiny after fitting to one page
Cause: too many rows or columns were forced into a single page. Fix: allow more pages wide or tall, choose a larger paper size, change orientation, or capture a bounded range instead.
The sheet looks different in the PDF
Cause: print layout is separate from the normal worksheet view; page breaks, margins, scaling and print areas affect the result. Fix: make changes in Page Setup, then verify the complete print preview instead of relying on the grid view.
A background image disappeared
Cause: Excel sheet backgrounds are for on-screen display and are not printed. Fix: insert the required picture into cells or headers, or add it later in an image editor.
The clipboard picture will not paste
Cause: another application may have replaced the clipboard contents, or the destination may not support that picture format. Fix: run Copy as Picture again and paste into a basic image editor first, then save a file and insert that file into the final document.

Which workflow should you use?
- Choose Copy as Picture when the output is a table, chart or other bounded selection and you want the original-size picture quickly.
- Choose Page Setup plus print-to-file when the worksheet extends beyond the screen or must preserve a deliberate page layout.
- Choose a screen capture only for a temporary view of what is visible; it is not a full-worksheet method.
- Keep the PDF when searchability and printing matter, and export to an image only when the destination specifically requires a bitmap.

Can Copy as Picture preserve formulas or editable cells?
No. It creates a static picture. The formulas and cell structure remain only in the original workbook.
Can I capture several non-adjacent ranges as one picture?
Copy as Picture is selection-based and works best with one rectangular range. Copy separate ranges and combine the resulting images in an editor if the layout requires it.
Should I use PNG or JPEG for an Excel worksheet?
PNG is generally the safer choice for text, borders and grid-like data because it avoids JPEG compression artifacts. Use JPEG when a smaller file is more important than maximum text sharpness.

A PDF keeps pages, selectable text and print-oriented layout. A single tall bitmap can be awkward to read, share or print, especially when the worksheet contains many rows.
