To place a screenshot visibly in a PDF, open the PDF in a desktop editor, choose its image-insertion command, select the screenshot, click the page, then resize and move it. In Acrobat desktop, the current path is Edit > Image. This is different from attaching a file: an attachment sits in the PDF’s Attachments pane and does not appear as page content.
Choose the result you need
There are two legitimate ways to put a screenshot into a PDF:
- Place it on a page: readers see the screenshot when they open that page. Use this for instructions, reports, evidence, presentations and annotated documents.
- Attach the image: the screenshot remains a separate file that readers open from the PDF’s Attachments pane. It is useful when the original image should remain downloadable, but it is not an image displayed in the page layout.
You do not need a scanner or special hardware. The documented workflows start with a screenshot already saved as an image file on your computer.
Insert a screenshot into an existing PDF with Acrobat desktop
Adobe’s desktop instructions, last updated November 5, 2025, use the following route. Menu names can differ in Acrobat editions or future releases, so use the desktop Acrobat application rather than assuming the same labels in a browser viewer.

- Open the PDF in Acrobat.
- Choose Edit from the global bar.
- In the Edit pane, select Image, then choose the option to select an image from your computer.
- Select the screenshot file. Click the PDF page where you want it to appear.
- Drag the bounding-box handles to change its size. Drag inside the image to reposition it.
After selecting the image, Acrobat also provides controls for operations such as scale, rotation and opacity. Its broader image-editing tools can add, resize, move, rotate, align, crop or replace PDF images. The exact controls shown depend on the object and Acrobat version.
Keep the screenshot readable
- Resize from a corner when possible so the screenshot’s proportions do not become distorted.
- Leave enough margin for text and page edges; an image that reaches the trim edge can be clipped when printed.
- If the screenshot contains small interface text, enlarge it only until it remains sharp at the intended viewing or print size.
- Crop irrelevant browser chrome or empty space when that makes the useful content larger. Acrobat supports cropping, but keep an uncropped original separately if the complete context may matter later.
- Adobe’s general guidance recommends resizing images before adding them to help keep the PDF’s file size manageable. That is practical guidance, not a guaranteed size reduction.
Attach the screenshot instead of displaying it
Use an attachment when the PDF should carry the original image without changing the page design. In Acrobat, the documented route is Edit > More > Attach file. Select the screenshot and, if needed, add a description in the Attachments pane. Adobe’s attachment help was updated May 27, 2026.
Readers will find the file in the PDF’s Attachments pane and open it separately. They will not see the screenshot as part of the page unless you also insert a visible copy with the image tool.

Prepare the layout in Word, then make a PDF
Word can be useful when the screenshot must sit alongside headings, captions or surrounding text before the final PDF is produced. Microsoft documents this image workflow:
- Open the document in Word.
- Choose Insert > Pictures, then select the picture from your device.
- Resize the picture and drag it to the required position in the document.
- Complete the page layout, then use the PDF save or export command available in your specific Word version and platform.
The cited Microsoft picture-insertion guidance establishes the insertion, resizing and moving steps, but not one universal PDF-export menu. Export labels vary between Word desktop editions, operating systems and versions. Verify the command in the Word release you use. Microsoft’s scanned-image guidance likewise covers inserting common image files; it is not a complete guide to exporting every document as PDF.
When Word is the better route
- Choose Word when you are creating the document from scratch and the screenshot is one element in a text-heavy page.
- Choose Acrobat when the PDF already exists and you need to edit that file directly.
- Choose Acrobat’s image tools when you need crop, rotation, alignment, replacement or opacity controls after placement.
Screenshot quality, size and accessibility checks
- Check the source file: confirm that the screenshot opens normally and is in a common image format such as PNG or JPEG.
- Check legibility at 100%: zoom the PDF to its normal reading size and make sure labels, URLs and controls can be read.
- Check page boundaries: ensure no important pixels extend beyond the page or print-safe area.
- Check orientation: rotate a portrait or landscape screenshot if its content is sideways, rather than forcing the page to an awkward orientation.
- Check the final PDF: save a new copy, close it, reopen it and test the page in a separate PDF viewer. This catches missing edits and font or image-rendering surprises.
- Describe the image where your workflow supports it: a meaningful caption or nearby explanation helps readers who cannot inspect the screenshot visually.
Troubleshooting common problems
The Image command is missing
You may be viewing the file in a browser PDF reader, Acrobat Reader’s limited feature set, or an edition whose tools are organized differently. Open the file in Acrobat desktop and look for the Edit pane. If you only need a visible image and cannot edit the PDF, create the page in Word and export it using the controls available in your Word version.

The screenshot appears as an attachment, not on the page
Attach file and Image are different commands. Remove or leave the attachment as needed, then return to Edit > Image, select the screenshot from your computer and click the page.
The screenshot is blurry
The source may be too small for the displayed size, or the PDF viewer may be zoomed. Start with the highest-resolution screenshot available and avoid enlarging it beyond what its pixels can support. A sharp source cannot restore detail that was absent from the original capture.

Resize with a corner handle and compare the screenshot’s proportions with the original. If the editor offers separate width and height fields, keep proportional scaling enabled.

The PDF becomes unexpectedly large
Large, uncompressed screenshots can dominate a PDF’s size. Resize the image before insertion, crop unused areas and avoid embedding multiple copies when one visible image is sufficient. Keep the original screenshot outside the PDF if you need an archival full-resolution copy.
The edit does not survive saving
Save the document after placement, close it and reopen the saved file. If the image disappears, check that you edited the intended copy and that the application completed its save operation before you closed it.
