The same workflow works in Canva, Microsoft Publisher, Adobe Express, a presentation app, or a word processor; only the controls differ.
1. Decide what the flyer must accomplish
Write down three decisions before opening a design tool:
- Audience: who needs this information?
- Action: what should readers do next—attend, register, call, visit, buy, donate, or scan a code?
- Viewing context: will people see it on a noticeboard, receive it as a handout or mail insert, or view it on a phone or computer?
Also decide whether you need a printed file, a digital file, or both. Distribution determines the canvas size, reading distance, layout, and export settings.
2. Choose the size before you design
Use the finished size required by the print provider or the current dimensions expected by the digital destination. Do not design first and resize later: changing the page can move text, crop images, and alter the visual hierarchy.

These are planning examples, not universal requirements. Confirm the receiving platform or printer before setting up the page.
3. Write and prioritize the content
Start with the shortest version of the message. Readers should understand the subject and next action without reading every line.
Event flyer
- Event name or main promise
- Date and time
- Location or online venue
- Who it is for
- Registration, ticket, contact, or access instructions
Sale, service, or announcement flyer
- The offer or announcement
- Important conditions, dates, or exclusions
- Location or service area
- Phone, web address, QR code, or other response method
Give one element clear priority: normally the event name, offer, or benefit. If a sentence does not help someone understand or act, remove it rather than shrinking every element to fit. Keep legal, pricing, and deadline information accurate and prominent enough to be found.
4. Build a readable visual hierarchy
Arrange the page so the eye encounters information in a predictable order: headline, supporting promise or image, essential details, then the action and contact information.

Use distinct text levels
Define a headline style, a supporting-heading style, and a body or detail style. A small number of clearly different levels is easier to scan than many competing fonts and sizes.
Create contrast
Separate the headline from supporting information with size, weight, spacing, color, or placement. Check contrast against the actual background; decorative effects should not make essential text harder to read.
Choose images that explain
Use an image, illustration, or icon only when it reinforces the message. Keep logos legible and avoid allowing a photograph to compete with the headline or action.
Design for the viewing distance
A noticeboard poster needs a stronger first glance than a handout read at arm’s length. A digital flyer must remain legible on a likely phone screen, including its contact or action details.

5. Keep important elements inside the safe area
Keep text, logos, QR codes, and other critical elements away from the trim edge. Canva distinguishes the safe zone (where important content belongs), the trim line (where the finished piece is cut), and the bleed (artwork extending beyond the trim).
When a background color or image should reach the edge, extend it into the bleed area, but keep essential content out of that area. Canva’s current help guidance describes a default bleed of 0.125 inches (3.175 mm) on each side for applicable trimmed products. That setting is not universal: an outside printer may require a different bleed or none at all.
6. Pick a tool that matches the job

Ease of editing and collaboration matter, but output compatibility matters more when a professional or institutional printer will produce the flyer. You can make a flyer with software you already have; buying a new application is not required.
7. Export for the actual printer or platform
Canva
- Open Share and choose Download.
- Select PDF Print for a print-oriented PDF.
- Enable Crop marks and bleed only when the receiving printer requests them or accepts them.
- Download the file and inspect that PDF, not just the editor view.
Canva advises people sending files to an outside printer to confirm that provider’s requirements. An institutional example from Augustana College accepts print PDFs but says its Copy Center does not accept crop marks or bleed, illustrating why a setting that is correct for one destination can be wrong for another.

Microsoft Publisher
Microsoft Support documents a workflow in which Publisher creates a bleed by placing the publication on larger paper, extending artwork beyond the intended finished size, adding crop marks, and manually trimming after printing. Microsoft also notes that Publisher and most home printers are not the best option for printing with a bleed. Use this method only when your home-print workflow and trimming plan support it.
Digital export
Use the file type and dimensions required by the destination. Inspect the exported image or PDF at the likely display size; a design that looks clear while zoomed in may be unreadable in a feed or message attachment.

Use high-resolution source images and logos. Augustana College recommends 300 dpi at full size for uploaded photos in its workflow, while Berrien County’s 2024 print guide describes 300 dpi as a preferred resolution for print-optimized work. These are named institutional recommendations, not a guarantee that every printer uses the same threshold.
Do not enlarge a small, blurry image and expect export settings to restore detail. Check fine text, thin lines, QR codes, and color blocks at 100% size in the exported file.

9. Proof the flyer before distribution
Before printing a large quantity or publishing the digital version, run this check:
- Correct page dimensions and orientation
- Headline, date, time, address, price, and deadline checked character by character
- Contact method or QR code tested
- No text, logo, or image crosses an unintended trim edge
- Backgrounds intended to reach the edge extend into the required bleed
- Images remain sharp at final size
- Contrast and type remain readable in the expected lighting or screen size
- Exported PDF or image opens correctly and matches the printer’s requested settings
Print one physical proof when possible and view it at the distance at which people will encounter it. For a digital-only flyer, inspect it on the likely phone and computer screens. The cited guidance recommends checking the downloaded output, but not every printer offers a formal proof service.
Common problems and fixes
Everything is too small
Cut secondary wording, simplify the layout, or choose a larger finished size. Shrinking all text preserves content but usually harms scanability.
The printer rejects the PDF
Ask for the provider’s exact finished size, bleed, crop-mark, color, and PDF requirements. Re-export to those specifications; do not assume Canva’s default settings apply.
Edges look uneven after trimming
Confirm the required bleed and keep critical content inside the safe area. If you are trimming at home, use a larger sheet and a suitable paper trimmer rather than cutting directly through text or logos.
The digital version is hard to read
Reduce wording, enlarge the key details, increase contrast, and test the file at the platform’s normal display size rather than only at design-canvas zoom.
