Choose a document file if you need to keep editing or add text; choose PDF when you want one shareable file with a more consistent page layout. If the screenshots are already PDFs, combine those PDF pages instead of scanning them again.
Choose a document or a PDF
A document editor and a PDF solve different problems. A document is useful when you want to rearrange images, add captions or explanatory text, or continue editing. A PDF is a better fit when you need to send one file whose page layout should remain consistent for the recipient. Whether a recipient requires a specific format depends on their instructions.

Before starting, decide whether the images are existing screenshot files or material you still need to capture. Scanning tools are for capturing paper or other material; they are not a required step for combining screenshots already saved in Photos, Downloads, or another folder.
Prepare the screenshots
- Find all the screenshot image files and identify which ones belong in the document.
- Put them in the intended reading order. If the order is unclear, rename copies with sortable numbers, such as 01-intro.png, 02-settings.png, and 03-result.png.
- Check that each image opens and shows the full content you need. If an image is cropped or obscured, recapture it before assembling the document.
- Choose page orientation and a readable image size. A tall screenshot may need a portrait page; a wide interface may be easier to read on a landscape page.
There is no universal best size: fitting a long screenshot onto one page can make its text too small, while splitting it across pages can interrupt context. Preview the pages at normal viewing size and adjust the layout accordingly.

Put multiple screenshots in Word
Insert and arrange the images
In Word, use the image-insertion controls to add a screenshot, position or resize it, then repeat for each additional file. Microsoft’s Office guidance describes screenshot insertion as a one-at-a-time process that can be repeated; exact menu labels can vary by device and Office version. - Open a new or existing document and place the insertion point where the first screenshot belongs.
- Use the app’s insert-picture or insert-image control and choose the first screenshot file.
- Set the image size so key details remain legible. If text should flow around it, choose an appropriate text-wrapping option; otherwise, keep it in line with the text for more predictable placement.
- Place the cursor after the image, add a page break if the next screenshot should start on a new page, and insert the next file.
- Repeat until every screenshot is in the intended order. Add captions or brief explanatory text where the sequence would otherwise be unclear.
- Save the editable document. If you need a fixed-layout copy, use Word’s save or export option for PDF and then inspect the exported file.
For existing screenshot files, this is different from scanning. Microsoft’s Word support recommends Microsoft Lens on a phone or tablet for scanned material, or scanning to PDF and opening that PDF in Word. Those directions apply when the source still needs to be captured, not when image files are already available. See Microsoft’s Word scanning guidance.
Make one PDF from screenshots on a Mac
If the screenshots are already PDFs
Preview can combine PDFs. Open the PDFs in Preview, show page thumbnails, and arrange the pages in the desired order using the documented Preview workflow. Duplicate the source PDFs first if you need to preserve untouched originals: Apple’s guidance warns that Preview edits save automatically. See Apple’s instructions for combining PDFs in Preview.

If the screenshots are image files
Apple also documents creating a PDF from multiple files through Finder or the desktop. The exact behavior can depend on the file types and macOS version, so check the resulting page sizing and order rather than assuming every image selection will produce the layout you want. If the generated PDF is not arranged or sized as expected, insert the images into a document editor and export that document as PDF, or convert the images to PDF pages first and arrange those pages in Preview.
Combine screenshots on Android
For screenshots that already exist
Insert the image files into a mobile document app if you need captions, surrounding text, or control over page breaks. Export to PDF if the app supports it and the recipient needs a single fixed-layout file. Another option is an image-to-PDF feature in a current app on your device; exact menus differ by manufacturer and app release, so follow the labels shown in your installed app and inspect the resulting PDF.

For material that still needs to be captured
Google Drive for Android supports scanning documents and saving scans as PDF or JPG, and Files by Google documents adding multiple images during scanning. Microsoft’s OneDrive for Android documents multipage scanning in app version 6.5 or higher. These are scanning workflows; they do not mean you need to rescan screenshots that are already saved as image files. Combine screenshots on iPhone or iPad
For existing screenshots, add them in order to a document app, arrange them, and export to PDF if that app supports it. The exact steps depend on the app and its version; check its current insert and export menus rather than relying on an unverified universal Photos-to-PDF sequence. If the screenshots are already PDFs, use a PDF app that supports page organization and verify its output before sharing.

- Confirm that every screenshot appears and that the sequence makes sense.
- Open the exported file rather than relying only on the editor’s preview.
- Check for clipped edges, distorted proportions, unexpected blank pages, and images split awkwardly across pages.
- Zoom in enough to confirm that interface labels and other important details can be read.
- Make sure the file type matches the recipient’s needs and that the final filename is clear.
Troubleshooting
The screenshots are in the wrong order
Sort or rename the source files before inserting them, then move images or PDF pages into the correct sequence in the editor. Do not rely on a folder’s display order unless you have confirmed how the app sorts it.

An image is too small or blurry
Enlarging a screenshot beyond its original dimensions can make text look soft. Use the original image file, preserve its proportions, and avoid shrinking a long capture to fit a single page if doing so makes its content unreadable. Consider splitting the content across pages or using landscape orientation.
A screenshot is cropped or split across pages
Check the image’s wrapping and page-break settings. Resize it within the page margins or start it on a new page. For a very tall image, decide whether a smaller full image or a readable split is more useful, then inspect the exported PDF.
The PDF does not preserve the expected layout
Reopen the PDF and inspect every page. If images are missing, misplaced, or sized unexpectedly, return to the document and adjust placement or use the editor’s PDF export. On Mac, Finder’s multiple-file PDF behavior can depend on file types and macOS version.

The source pages are paper, not image files
Use a scanning app or scanner to capture the pages first, then save them as a PDF or images. Microsoft’s Word guidance discusses Lens or scanning to PDF; Google Drive and Files by Google offer Android scan workflows. Do not use a scan workflow simply to recombine screenshots that already exist digitally.
