“Not Responding” does not automatically mean Excel has crashed. A VBA procedure may be calculating, refreshing data, writing a large range, waiting for a network file, or blocked by an event or add-in. First stop clicking and decide whether Excel is still making progress; force-closing should be the last resort because unsaved work can be lost.

First decide whether Excel is busy or stuck

Microsoft advises checking whether Excel is processing an operation before taking further action. See Microsoft’s Excel troubleshooting guidance.

  • Press Esc once. It can interrupt some calculations and operations, but it cannot reliably stop every VBA procedure.
  • Alt+F11 may show whether the Visual Basic Editor still responds.
  • Task Manager activity is only a clue; CPU or disk use does not prove that a macro will finish.

When force-closing is justified

If Excel cannot recover, the macro is clearly looping, or a known reasonable duration has been exceeded, open Task Manager and end EXCEL.EXE. Accept that unsaved changes may be lost and the file may require recovery. Reopen Excel without immediately rerunning the macro.

Recover the workbook before changing it

  1. Make a copy of the workbook, if possible, before repeated opening or repair attempts.
  2. Check Document Recovery after restarting Excel and look for a recent backup or prior cloud version.
  3. Use File > Open > Browse; in the Open dialog, use the repair option if Excel offers it. Microsoft’s recovery instructions are at Repairing a corrupted workbook.
  4. Compare a local copy with the network, SharePoint or OneDrive version. An unavailable path, synchronization issue or locked external file can make a macro appear frozen.
  5. For a business-critical file, preserve the original and involve IT or a specialist before repeated repair attempts.

Find the exact macro stage that fails

Work on a duplicate and establish whether VBA itself responds:

  1. Run the trivial procedure, then try the suspect macro on a reduced data set.
  2. Set breakpoints and use F8 to step through the code. Record the last completed stage in the status bar or a log sheet.
  3. Temporarily comment out major sections and restore them progressively.
  4. Inspect every loop: its counter must change, its exit condition must be reachable, its range must be bounded, and collections must not be modified unsafely during iteration.
  5. Inspect Workbooks.Open, RefreshAll, queries, database or API calls, file reads and writes, and COM automation. A line that appears to hang may be waiting for one of these operations.

Replace broad ActiveSheet, Selection and ActiveWorkbook references with explicit workbook and worksheet variables. Avoid Select, Activate, scrolling and visible UI manipulation.

Use cleanup-safe application settings

Screen redraw, events, alerts and automatic calculation can multiply execution time. Save each setting and restore it even when an error occurs. Microsoft documents ScreenUpdating, EnableEvents and calculation performance.

DisplayAlerts = False suppresses prompts, so use it only when the intended answer is known. Do not assume that disabling events or calculation is always safe: some procedures require event handlers or current formulas during execution.

Control recalculation deliberately

Repeated cell edits under Automatic calculation can recalculate a large dependency tree after every write. For a diagnostic test, choose Formulas > Calculation Options > Manual on a copy. If performance improves, identify the edits or formulas causing the cost, then calculate deliberately:

Calculation mode can affect the application session and other open workbooks. Manual mode can leave stale results; Excel may show Calculate in the status bar. Never leave it permanently on as a generic fix.

Prevent event recursion

Writing cells, opening files or saving can trigger Worksheet_Change, Workbook_Open, BeforeSave and other handlers. A handler can call the original procedure again. Temporarily preserve and disable events around the controlled operation:

Put restoration in the same error-cleanup block as the main procedure. If a previous macro left events disabled, later event-driven behavior may appear broken; reset the saved value rather than blindly changing unrelated application settings.

Use DoEvents only as a controlled yield

DoEvents lets Windows process queued messages and can support progress or cancellation in a long loop. Microsoft warns that execution can be re-entered through another event (DoEvents documentation).

Use it periodically, not on every iteration. It cannot cure an infinite loop, expensive recalculation, blocked network call, deadlocked COM add-in or corrupted workbook, and excessive calls can slow execution and permit unsafe re-entry.

Optimize the operation itself

  • Read a range into a two-dimensional array, process it in memory, and write it back in one assignment instead of editing cells one at a time.
  • Use bounded ranges rather than entire-column formulas or searches where possible.
  • Reduce volatile formulas, repeated Copy/Paste, and full-workbook calculations.
  • Close or release external objects and provide timeouts or cancellation paths for external operations.
  • Use a status message or log instead of repainting the sheet for every record.
  • Review excessive formatting, invalid defined names, hidden objects, shapes, PivotTable caches, queries and external links; Microsoft lists these as possible performance obstructions (performance guidance).

Test Excel without add-ins (Windows)

  1. Press Windows+R, enter excel /safe, and press Enter. Microsoft describes Safe Mode at Open Office apps in Safe Mode.
  2. Open a copy of the workbook and test a minimal reproduction. Safe Mode bypasses several startup locations, startup workbooks, Excel add-ins and most COM add-ins; it does not prove the workbook is healthy.
  3. If the issue disappears, use File > Options > Add-ins. Select COM Add-ins in Manage, choose Go, clear the checkboxes, restart normally, and re-enable one add-in at a time.

A macro that depends on an add-in, reference, connection or startup workbook may not be a valid Safe Mode test. If it works only in Safe Mode, suspect an environmental conflict rather than assuming the VBA logic is correct.

Update and repair Office

Install current Office and Windows updates; supported editions on Microsoft’s main troubleshooting page include Microsoft 365, Excel 2024, 2021, 2019 and 2016 for Windows. Build-specific fixes change, so check the current Excel fixes and workarounds page.

  1. Open Windows Installed apps (or Apps and Features), find Microsoft 365 or Office, choose Modify.
  2. Try Quick Repair first, then Online Repair if needed, following Microsoft’s repair steps.
  3. Restart Windows if prompted. Repair affects the Office suite, not only Excel, and will not fix an infinite loop, bad algorithm, corrupt workbook or unavailable service.

Do not uninstall Office as an early response. If failures persist across workbooks after Safe Mode, add-in isolation, updates and repair, involve IT and check endpoint-security or policy conflicts rather than changing security settings blindly.

Check macro security without weakening it

Macro security is not a performance fix. Do not enable all macros or grant broad VBA-project access as a troubleshooting shortcut. Review trusted locations and project-access settings using Microsoft’s guidance: Change macro security settings in Excel.

When another tool is a better fit

For recurring high-volume work, consider Power Query for importing and transforming data (Microsoft’s overview), Office Scripts where supported, Power Automate for orchestration, or Python, SQL or a database for larger processing. These alternatives involve different deployment, permissions, security, offline and UI-automation trade-offs; they are not automatic cures for a damaged workbook or faulty VBA.
