Find and replace yours safely.Free scan · under a minuteThe fix depends on what is failing: the Command–Space shortcut, Spotlight’s result categories, one excluded disk or folder, or an incomplete index. Start with the symptom that matches your Mac, then use Apple’s supported settings and reindexing steps before trying anything destructive.
Identify the Spotlight problem first
- Command–Space does nothing: troubleshoot the shortcut, keyboard, or menu-bar access.
- Spotlight opens but shows no apps or files: check result categories and Search Privacy.
- Results are stale or incomplete everywhere: rebuild the relevant Spotlight index.
- Only an external disk, iCloud folder, archive, or Mail is affected: troubleshoot that location or content type instead of rebuilding the whole startup disk.
- Results look different or an app is dimmed: check search context, filters, macOS changes, or Screen Time restrictions.
If Command–Space does nothing
Apple lists three ways to open Spotlight: press Command–Space bar, click the Spotlight icon in the menu bar when it is shown, or use a keyboard Search key if your Mac keyboard has one. See Apple’s current instructions at Search for anything with Spotlight on Mac.
- Click the menu-bar Spotlight icon. If it opens, Spotlight itself is working and the keyboard shortcut is the likely problem.
- Try an external keyboard or another key combination. A faulty key, keyboard layout, or hardware issue can prevent the shortcut from registering.
- Open your keyboard shortcut settings and check whether Command–Space is still assigned to Spotlight. Third-party launchers, input methods, and window utilities can claim the same shortcut.
- If the icon is missing, open the Mac’s menu-bar or Control Center settings and enable Spotlight. The exact placement and label vary by macOS release.
Turn missing result categories back on
Spotlight can appear broken when a category such as Applications, Documents, Mail, or Messages has simply been disabled. Apple says unchecked categories are excluded from results.
- Open Apple menu → System Settings.
- Select Spotlight or Siri & Spotlight, depending on your macOS version.
- Review the search-result categories and enable the types of content you expect to find.
Older releases may use Apple menu → System Preferences → Spotlight. Turning off web or Siri suggestions does not by itself disable local file indexing; check the local categories separately. Apple documents these controls in Spotlight settings on Mac.

Check Search Privacy before rebuilding anything
A disk or folder in Spotlight’s privacy list is intentionally excluded. This commonly explains why internal files appear but an external volume or particular folder does not.
- Open Apple menu → System Settings.
- Choose Spotlight or Siri & Spotlight.
- Scroll to Search Privacy or Spotlight Privacy.
- Remove the affected disk or folder from the exclusion list, then test again.
On older macOS versions, use Apple menu → System Preferences → Spotlight → Privacy. Do not leave a location in this list after testing: while it remains there, Spotlight will not search it. Adding and removing a location can also trigger reindexing, so do it deliberately. Apple explains the setting at If searching your Mac returns unexpected results.
Rebuild the Spotlight index
Reindexing is Apple’s main repair for widespread missing, stale, or unexpected results. It may help, but it is not a guaranteed cure for a permissions, storage, account, or location-specific problem.

macOS Ventura 13 and later
- Choose Apple menu → System Settings.
- Open Spotlight or Siri & Spotlight.
- Scroll to Search Privacy or Spotlight Privacy.
- Add the affected disk or folder by dragging it into the list or clicking + and selecting it.
- Wait a few seconds, select the location you just added, and click – to remove it.
- Click Done, close System Settings, and leave the Mac powered on while indexing runs.
Earlier macOS versions
- Open Apple menu → System Preferences → Spotlight.
- Select the Privacy tab.
- Add the affected disk or folder, wait briefly, then remove it.
- Quit System Preferences and allow indexing to finish.
These are Apple’s published steps in Rebuild the Spotlight index on your Mac. Indexing time depends on how much information must be processed; Apple does not specify a universal number of minutes. A progress indicator may appear at the top of the Spotlight window, but it is not visible at every stage.

Test the repair without creating a false failure
- Search for a file whose exact name and local location you already know.
- Wait for reindexing to finish before judging the result. A large startup disk, external disk, or file-heavy folder can take considerable time.
- Do not use an online-only iCloud file, an unopened archive, or a disconnected volume as your first test.
- Confirm the disk is mounted and opens normally in Finder.
Spotlight and Finder do not search the same way
Spotlight opened with Command–Space can return apps, files, messages, calendar data, actions, calculations, and web suggestions. A Finder search started with Command–F is more file-focused and has its own scope.
In Finder, check whether the search is limited to the current folder or expanded to the entire Mac. A file can appear in Finder while remaining absent from Spotlight if its location is excluded or not indexed. Conversely, a broad Spotlight result may not reflect the folder you were viewing in Finder.

When only a particular location or content type is missing
External disks and network locations
Test one known file on the internal disk and one on the external disk. Confirm the external disk is mounted, accessible, and absent from Search Privacy. Network shares, removable volumes, disk images, and third-party filesystems may not behave like the local APFS startup disk, so do not assume an internal-disk result guarantees equivalent remote searching.
ZIP files and disk images
Apple advises opening an archive or disk image before searching its contents. Spotlight may find the archive file itself without exposing every item still stored inside it. See Apple’s search guidance.
iCloud Drive
Distinguish a file that is downloaded locally from one that is visible in iCloud Drive but still syncing or available only online. Confirm the file appears in Finder, let synchronization or download complete, and test another locally available file in the same folder. Also verify that the Documents result category is enabled. Missing iCloud metadata does not establish one universal Spotlight failure, so reindex the affected local folder only after these checks.

Mail-only searches
If ordinary apps and documents appear but Mail messages do not, identify whether the failure is in Spotlight, Mail’s own search, one mailbox, or one account. Apple directs Mail-only cases to separate Mail troubleshooting rather than repeatedly rebuilding the entire disk index. Start with Apple’s reindexing article and its Mail-specific guidance.

Search terms and filters
- Check spelling.
- Put an exact phrase in quotation marks, such as
"project atlas". - Unquoted words can match in different orders.
- Use filters such as
kind:pdf,kind:image,kind:application,author:John, ortitle:New York City.
Some newer macOS versions provide Spotlight browse modes for Applications, Files, Actions, and Clipboard, with Command–1 through Command–4 where supported. Interface and shortcut availability varies by release; Apple documents the current options at Narrow your search results in Spotlight on Mac.
Screen Time restrictions
An app icon that appears dimmed with an hourglass can indicate Screen Time downtime or an expired app time limit. That is a usage restriction, not necessarily an indexing failure.

Web results without local files
If Spotlight shows web results or Siri suggestions but no Mac files, check Applications and Documents categories and Search Privacy first. Disabling web suggestions changes what Spotlight displays; it does not repair or rebuild local indexing.
If reindexing fails
- Confirm the disk is mounted and the affected folder opens in Finder.
- Try reindexing a specific user folder instead of the entire startup disk.
- For an “unknown” or permissions-related error, open the item’s Get Info panel and review ownership and access. Apple notes that such errors can mean the account lacks ownership permissions for some content.
- Test a known local file in another folder and, if practical, a different user account. This helps separate a volume-wide issue from an account-specific one.
- Back up before installing a macOS update, and verify that the update is compatible with your Mac.
Avoid recursively changing permissions across the startup disk unless a qualified technician has diagnosed that requirement. Do not jump to deleting index databases, using unverified Terminal commands, or reinstalling macOS: current Apple consumer guidance does not require Terminal for this repair.
When to contact Apple Support
Escalate when the Mac cannot index even a small, accessible local folder, reindexing repeatedly returns permission or unknown errors, the issue follows your account across locations, or Finder and Spotlight both fail to access a healthy mounted disk. Provide the macOS version, affected volume, exact symptom, and the steps already completed.
