Keep the original input columns immutable where possible. Add a run ID or updated timestamp if several people or scheduled jobs can edit the sheet. Your worker should claim a row, render it, upload it, and write the result back. The videoId is the idempotency key: a retry updates that same video rather than creating a second job.

Build a reusable 16:9 template
Start with a 16:9 canvas. YouTube documents a 1280×720 max-resolution video thumbnail; exporting at 1280×720 is a practical default for custom thumbnails. Use JPEG or PNG and keep the file at or below YouTube’s documented 50 MB maximum. The thumbnail upload accepts image/jpeg, image/png and application/octet-stream.

Template rules that survive batch generation
- Reserve a fixed text area so long titles do not collide with faces or logos.
- Define a maximum character count and a fallback line-break rule.
- Use a small, finite set of background and accent variants rather than arbitrary per-row styling.
- Keep important text away from the edges; mobile surfaces crop or scale artwork differently.
- Use a deterministic font, fallback font and color contrast so the same row renders identically on every run.
- Load remote assets before export and fail the row if a required image is missing.
Canva’s data-connector documentation describes generating custom designs at scale and lists Google Sheets as a data source. Its AI thumbnail maker can provide a starting design, but treat the connector, public API access, rate limits and partner terms as account-dependent and verify the current availability before building a production queue.
Choose a rendering path
Canva or another connected design tool
Map sheet columns to template fields, generate one design per row, and export each result as JPEG or PNG. Confirm that the export preserves 16:9 dimensions and that you can obtain a predictable filename containing the videoId. If the service reports a partial batch, mark only the missing rows as failed.
Your own renderer
A browser-based HTML/CSS template gives you exact control over fonts, wrapping, images and effects. A worker can load a row’s data, wait for fonts and network images, capture the 1280×720 element, and save {videoId}.png. This is usually easier to test and retry than a design file that has to be edited manually.
Validate before uploading
- Check the file exists and is non-empty.
- Decode it to verify it is actually JPEG or PNG.
- Read width and height; reject non-16:9 output instead of allowing an unexpected crop.
- Check file size against the 50 MB limit.
- Open a contact sheet of the batch to catch missing variables, clipped text and broken images.
Upload each image with YouTube Data API
The thumbnails.set method “uploads a custom video thumbnail to YouTube and sets it for a video.” It requires authenticated YouTube authorization and the target videoId. A call costs approximately 50 quota units according to Google’s 2026 documentation, so calculate the quota required for a full sheet before launching a large run.
- Create OAuth credentials in the Google project that owns your YouTube integration. Request the least-privileged YouTube scope that permits thumbnail updates, and keep refresh tokens in a secret manager, not in the sheet.
- For each row whose export status is
okand upload status is notok, open the rendered file. - Send a multipart request to
thumbnails.setwith thevideoIdquery parameter and the image as the request body. - Record the HTTP result and response body. Mark
uploadStatus=okonly after YouTube confirms success. - Write the status, timestamp and any error back to the same row. Retry transient failures with exponential backoff; do not retry authentication or invalid-file errors indefinitely.
Never place an OAuth access token in a formula, public Apps Script property, client-side web page or exported CSV. Restrict the worker’s service account or deployment permissions and rotate credentials when a collaborator leaves.
Batch control, retries and concurrency
Process in small batches, such as 25–100 rows, depending on your renderer and quota. A worker should claim rows atomically (for example, set processing with a run ID), then release a claim when it finishes or times out. This prevents two scheduled runs from uploading different images to the same video.
- Retry: network resets, 429 responses and 5xx responses after backoff.
- Fix then rerun: invalid OAuth scope, missing
videoId, unsupported media type, oversized file or malformed image. - Do not blindly retry: a permission denial or a video that no longer exists.
- Audit: retain the source row, renderer version, output filename, API response and run ID.
If a row succeeds in rendering but fails to upload, leave the image available and retry the upload stage only. If the template changes, increment the template version so you can distinguish intentional regeneration from an accidental duplicate run.

Can I let YouTube resize a nonstandard image?
