To generate PDFs automatically, keep the document’s fixed layout and wording in a template, supply changing values as structured data, merge the two, and export the result as a PDF. The right workflow depends on whether your starting point is a Word file, a Google Doc, or HTML. Adobe documents Word-template and HTML-to-PDF routes; Google documents copying a Docs template and replacing placeholders, but the cited Google guide does not cover PDF export.

Choose a workflow that matches your template

For example, an invoice template might have customer name, invoice date, line items, totals, and an optional payment note. Merge a Google Docs template—and plan PDF export separately

  1. Keep a source Google Doc as the template. Put fixed text in the document and use placeholders for the values that will change.
  2. Copy the template with Drive API files.copy. Generate a separate document instance rather than replacing placeholders in the source template.
  3. Replace placeholders with Docs API batchUpdate. Include one or more ReplaceAllTextRequest operations in the batch update as appropriate.

Check that the tag or placeholder spelling matches the supplied field, that the field is present in the payload, and that the right template version was used. With Google Docs, verify that the replacement text in the request matches the actual placeholder in the copied document.

Optional text or repeated rows render incorrectly

Review the template’s conditional or repeating structure and the corresponding input shape. Test both the populated and empty cases; a document that works with one row may fail visually with many rows or no rows.

The document is valid but the PDF layout is wrong

Inspect the final output rather than relying only on successful API responses. Long names, addresses, tables, and paragraphs can change pagination. For HTML conversion, also verify fonts, external assets, page breaks, headers, and footers in the specific workflow you selected.
