Keep documentation screenshots current by treating them as versioned, testable assets: inventory every image, review affected screens when the UI changes, capture in a fixed environment, compare against a baseline, and require a human to approve intentional updates before publishing.

1. Build a screenshot inventory

Start with a single list (a spreadsheet, issue tracker, or repository manifest) that connects each image to the documentation it supports. For every screenshot, record:

  • The documentation URL, article title, and procedure step.
  • The product route or user flow shown, including the account state and permissions needed.
  • The image file path, viewport or device size, browser and operating-system setup.
  • The date it was captured and the date it was last reviewed.
  • The product release, feature flag, or UI version it represents.
  • An owner responsible for reviewing changes.

This turns an unsearchable folder of images into a change-impact list. When a navigation label, dialog, control, or workflow changes, you can identify the exact documentation images that need attention.

2. Review screenshots when the interface changes

Use release changes as triggers

Ask product and engineering teams to flag documentation-impacting changes in release notes or pull requests. Prioritize images that show changed navigation, labels, buttons, dialogs, form fields, or step-by-step flows. Review the surrounding instructions at the same time; an image can look current while the text still names an old control.

Keep a periodic audit

Event-driven reviews will miss changes made without a documentation ticket. Schedule an inventory audit at an interval appropriate to your release cadence. During the audit, open the live product and verify the visible state, labels, and sequence against each image and its nearby instructions.

3. Capture in a controlled environment

Use the same browser, browser version, operating system, viewport, device scale factor, fonts, account data, locale, timezone, and color scheme for baseline and subsequent captures. Playwright notes that rendering can vary with operating system, browser version, settings, hardware, power source, and headless mode; consistency between baseline generation and comparison is therefore essential (Playwright visual comparisons).

  • Seed deterministic data instead of relying on records that users or background jobs can change.
  • Disable animations or wait for them to finish before capture.
  • Use a stable test account with the same permissions on every run.
  • Set a fixed viewport and device scale factor.
  • Capture after the page reaches the same readiness condition, such as a specific selector being visible.

These controls reduce false differences and make a real product change easier to recognize.

4. Compare new captures with saved references

Playwright visual comparisons

If your team already runs browser tests, Playwright Test’s toHaveScreenshot() can create a reference image and compare later runs against it. The first run creates the reference; subsequent runs report visual differences (official visual comparison documentation).

Run the test in the same environment used to create the baseline. Dynamic content and hover effects can produce noise. Playwright documents applying a stylesheet to hide or stabilize volatile elements and moving the pointer away from hover-sensitive controls before the assertion (visual comparison guidance).

Capture options for one-off or scripted images

Playwright also supports screenshot capture to a file, with options for image format, clipping, and quality (screenshot capture documentation). Use this when you need to regenerate an asset without making the screenshot an assertion in a test.

5. Separate real UI changes from capture noise

When a comparison fails, inspect the diff rather than immediately replacing the baseline. Classify the change:

  • Expected product change: a label, layout, control, or flow intentionally changed.
  • Unstable content: timestamps, rotating promotions, avatars, analytics values, or network data.
  • Environment drift: a browser update, font change, viewport mismatch, device-scale change, or headless-mode difference.
  • Capture failure: a partially loaded page, authentication error, modal, or unexpected redirect.

Fix the cause of unstable or failed captures. Do not hide broad regions simply to make a test pass; mask only content that is genuinely irrelevant to the documentation image.

6. Approve and update an intentional change

After confirming that a changed interface is correct and that the documentation should reflect it, update the saved reference with:

Review the resulting image and the diff in the context of the article before committing it. Updating a baseline records what the browser produced; it does not prove that the screenshot shows the right account, route, data, or user-visible state.

Use a review gate

  • Attach the before-and-after image to the product or documentation change.
  • Have a reviewer verify the route, account state, labels, and instructions together.
  • Record the new capture date and product version in the inventory.
  • Publish the image and re-run the procedure from the reader’s perspective.

7. Choose the right level of automation

Automation is most useful when it is connected to documentation ownership: a failing comparison should create a clear decision about whether to fix the capture, update the product instructions, or approve a new image.
