Windows virtual desktops work best when each one represents a stable work context—not a single app. Start with two or three named desktops, such as Focus, Communication and Personal, then keep each desktop’s windows relevant to that purpose. Windows 10 and Windows 11 include this feature; use it to reduce visual clutter, not as a security boundary or a promise of better productivity.
What Windows virtual desktops do—and what they don’t
Windows calls its built-in feature Multiple Desktops. Each desktop is a different workspace view for arranging groups of open windows on the same Windows installation. You can switch between contexts without closing or minimizing every unrelated app.
That is different from a physical monitor, which is a separate display; from Snap layouts or PowerToys FancyZones, which arrange windows within a workspace; and from a remote or cloud desktop such as Azure Virtual Desktop, which is a different service. A virtual desktop is a visual and workflow aid, not a separate computer session: it does not isolate app processes, account access, data, or necessarily notifications. Don’t treat another desktop as a privacy or security measure.

Separate workspaces can make projects easier to find and meetings easier to prepare, but they do not automatically make anyone more productive. Too many desktops—or desktops without clear purposes—can become another layer of clutter.

Choose a system before creating desktops
Pick one organizing principle. Mixing project names, app categories and temporary tasks makes the desktop list harder to scan.
- By work mode: Focus, Communication, Research, Meetings.
- By project: Project A, Project B, Communication, Admin.
- By role: Client Work, Operations, Personal.
For most people, begin with three desktops:

| Personal / Temporary | Personal browsing and one-off tasks that would otherwise mix with work. |
A project-based setup could instead use one desktop per major active project, plus Communication and Admin. A role-based setup might use Focus, Coordination, Reference, Meetings and Personal. Choose the smallest set that reflects how you actually work. Start with two or three; add one only when a group of windows repeatedly gets in the way of another workflow. If you cannot name a desktop and describe its purpose in one sentence, it probably does not need to exist.
Create, name and switch desktops
These Microsoft instructions apply to Windows 10 and Windows 11; button placement and some menu wording can differ by release. See Microsoft’s Multiple Desktops guide for the current interface.

- Open Task View by selecting its taskbar button or pressing Win + Tab.
- Select New desktop.
- Select the desktop’s name in Task View to rename it. Use short, stable labels such as
Communication,Research,Client-AorAdmin.
For quick creation, press Win + Ctrl + D. Switch desktops with Win + Ctrl + Left Arrow or Win + Ctrl + Right Arrow. If a shortcut does not work on your build, use Task View; Microsoft’s Windows keyboard-shortcut reference is the place to check current behavior.
Keep names consistent—either work modes or project names, rather than a mixture. Avoid labels tied to the day or a passing mood. If your Windows build supports dragging desktop thumbnails in Task View, you can reorder them there; otherwise, rely on consistent names and recreate temporary desktops in the order you prefer.

Move windows and decide what should be shared
To move a window, press Win + Tab, find its thumbnail, right-click it, then choose Move to and select the destination desktop. The menu can also offer an option to show that window on all desktops, or to show windows from its app on all desktops. Wording and availability can vary by Windows release and app.
Showing a window on all desktops does not create independent copies. It is the same window appearing as you switch contexts. This can suit a communication window you must monitor, a password manager, an accessibility tool, audio controls or a reference window used across projects. It is less suitable for distracting apps, project-specific browser windows, large document collections, or sensitive content that might appear during a presentation.
An app can have multiple windows. Moving one does not necessarily move its others, and a browser tab is not automatically a separate window. Move the particular window you intend to move, then check the destination desktop.
Keep the taskbar and Alt+Tab focused
Windows lets you choose whether the taskbar and Alt+Tab show windows from only the current desktop or from all desktops. For a clearer separation between contexts, set both to current-desktop-only:
- Open Settings.
- Go to System > Multitasking.
- Expand Desktops.
- Set On the taskbar, show all the open windows and Show all open windows when I press Alt+Tab to the current-desktop option.
Choose the all-desktops option instead if you often need to retrieve a window globally and do not mind seeing unrelated apps while switching. If Alt+Tab still shows apps from elsewhere, check this setting. The labels may vary slightly by Windows version; Microsoft documents the controls in its Multiple Desktops guide.

Use backgrounds as a cue, not the filing system
In Task View, right-click a desktop and choose Choose background to give it a different picture. Microsoft documents picture backgrounds per desktop; this feature does not provide a separate slideshow or solid-color setting for each desktop. A simple, low-distraction image with a distinct color can make contexts easier to recognize. Keep the desktop name too: wallpaper is only a visual cue, not a replacement for a clear label.

When a project ends, inspect its windows in Task View, then close the desktop thumbnail or right-click it and select Close. You can also try Win + Ctrl + F4; use Task View if the shortcut is unavailable on your release. Closing a desktop workspace should move its open windows to another available desktop rather than instructing Windows to quit every application. Check where those windows ended up afterward. Closing an app window is a different action and can discard unsaved work.
Use Snap and PowerToys only for the problem they solve
Desktops answer “Which work context am I in?” Window-layout tools answer “Where should these windows sit?” Start with Windows Snap for simple side-by-side arrangements on a desktop. Add tools only if a specific limitation appears.

FancyZones: custom window positions
PowerToys FancyZones lets you define window zones and place windows in them. Its documented default editor shortcut is Win + Shift + `; it can be changed in PowerToys settings. Other documented shortcuts—including cycling windows in a zone, expanding across zones and applying an assigned layout—depend on configuration, so do not assume they are active immediately.
Microsoft documents a same-DPI-scaling requirement for all monitors for FancyZones to operate correctly. That matters on laptop-and-dock setups with different scaling. Check the current FancyZones documentation before relying on a layout across mixed monitors.

Workspaces: relaunch a group of apps
PowerToys Workspaces can capture a group of open apps and their positions, then relaunch that arrangement. The documented setup is: enable Workspaces in PowerToys Settings, select Launch editor, choose Create workspace, arrange and open the apps, select Capture, then name and edit the workspace and save it. You can optionally create a desktop shortcut. The documented default editor shortcut is Win + Ctrl + `.
Workspaces uses available APIs and the FancyZones engine to position apps; it is not a guaranteed snapshot of every app’s internal state. An app may refuse positioning, need elevation, open slowly or restore an unexpected state. Test the apps and monitor arrangement you rely on. A desktop is a workspace across your Windows session, not a separate physical monitor. If you want one context on one monitor and another context on a second monitor, test the behavior with your exact Windows build and display arrangement rather than assuming each display switches independently. Native desktops are a good fit for straightforward context switching; they are not a full monitor-profile system.
Docking, undocking, changing monitor arrangements and mixed scaling can affect window positions. Recheck layouts after reconnecting displays, keep scaling consistent where practical, and test any saved arrangement on the actual dock and monitors. Full-screen games, video, remote-desktop clients and some browser modes may not follow ordinary window-management behavior.
If your real requirement is multiple taskbars, monitor-specific profiles or splitting an ultrawide display into logical sections, a dedicated tool may be more appropriate. See the official DisplayFusion site for current capabilities and trial terms. Consider it for a defined multi-monitor need, not just to create ordinary virtual desktops.

Fix common virtual-desktop problems
“I made a desktop, but the app is still visible.”
In Task View, right-click the window. Check whether it is set to show on all desktops, then move that specific window to the intended desktop. Also check whether you are looking at a second app window, and whether the taskbar is configured to show windows from all desktops.
“Alt+Tab shows unrelated apps.”
Go to Settings > System > Multitasking > Desktops and choose to show only windows from the current desktop in Alt+Tab.
“I closed the desktop and lost my work.”
Closing the desktop workspace is not the same as closing each app. Open Task View and check the remaining desktop for transferred windows. If an app window itself was closed, recovery depends on whether the app saved its work or offers recovery; save documents before closing windows.

Recheck monitor arrangement and scaling, especially if FancyZones is involved. Its documented same-DPI requirement can be relevant to mixed laptop and external displays. Test the layout on your usual dock before depending on it.
“A meeting notification appears on another desktop.”
Virtual desktops do not guarantee notification isolation. Configure the communication app, Windows notifications, Focus sessions or Do Not Disturb if controlling interruptions is the real goal.
“A full-screen app ignores my layout.”
Some full-screen surfaces do not behave like ordinary resizable windows. Switch out of full-screen mode if practical; do not expect desktops or zones to control every game, video or remote-session surface.
A simple maintenance routine
- Keep a desktop only while its purpose remains useful.
- Move project windows to the right context and close stale windows when the work is done.
- Close temporary desktops at the end of a project, then check where their windows went.
- Review the names and order occasionally; rename or remove desktops that no longer have a clear purpose.
For most users, the built-in Windows feature is the right starting point. Add FancyZones for custom window geometry, Workspaces for repeatable app launches, or a multi-monitor manager only when you can name the specific limitation you need to solve.
