La verifica più rapida è aprire la stessa casella su Outlook.com o sul sito del provider e inviare un messaggio di prova. Se il messaggio è visibile sul web ma non nell’app, il problema è quasi certamente sincronizzazione, connessione, account o profilo. Se non compare nemmeno sul web, controlla quota, filtri, regole, autenticazione, mittente e stato del servizio.
Diagnosi in 60 secondi
- Apri la casella nel browser con lo stesso indirizzo configurato in Outlook.
- Invia una mail di prova da un altro account.
- Controlla Posta in arrivo, Posta indesiderata, la scheda Altro, Archivio e le cartelle personalizzate.
- Verifica se Outlook mostra Disconnesso, Lavora offline o Tentativo di connessione.
- Controlla lo spazio disponibile e se il problema riguarda tutti i messaggi o soltanto uno.
“Outlook” può indicare Outlook.com nel browser, il nuovo Outlook per Windows, Outlook classico, Outlook per Mac o l’app iOS/Android. I comandi cambiano tra queste versioni.
Forza la sincronizzazione
Nuovo Outlook per Windows
Seleziona Posta, apri Visualizza e scegli Sincronizza; in alternativa premi F9. Il nuovo Outlook usa Sincronizza al posto della vecchia scheda Invia/Ricevi (istruzioni Microsoft).
Outlook classico per Windows
Vai su Invia/Ricevi → Invia/Ricevi tutte le cartelle. Per un solo account usa Gruppi di invio/ricezione, seleziona l’account e Posta in arrivo. Anche qui F9 avvia l’operazione.

Outlook.com, Mac e mobile
Nel browser aggiorna la pagina e, quando disponibile, usa Visualizza → Sincronizza. Su Mac controlla Outlook e disattiva Lavora offline; verifica inoltre Internet, rete aziendale, proxy e firewall. Nell’app mobile, rimuovere e aggiungere nuovamente l’account può ricreare il collegamento, ma fallo solo dopo aver verificato che i messaggi siano presenti sul server.
Se Outlook è offline o disconnesso
In Outlook classico per Windows guarda la barra di stato in fondo alla finestra. Se indica Disconnesso o Lavora offline, apri Invia/Ricevi → Lavora offline per tornare online, poi riprova Invia/Ricevi tutte le cartelle. Un messaggio rimasto in Posta in uscita potrebbe dover essere riaperto e inviato di nuovo (guida Microsoft).
Una connessione al web non garantisce che Outlook raggiunga il server. Disattiva temporaneamente VPN e proxy, prova l’hotspot del telefono e riavvia l’app. Se funziona solo sulla rete alternativa, coinvolgi l’amministratore della rete o il provider Internet. Firewall, reti pubbliche e server IMAP/POP irraggiungibili possono bloccare la sincronizzazione.

La posta è arrivata ma non la vedi
Filtri e ordinamento
Apri Filtro e seleziona Tutti. Ordina per Data, non per mittente, dimensione o conversazione, e disattiva viste limitate a messaggi non letti o con allegati. Un ordinamento diverso può far sembrare vecchia una mail appena arrivata.
Cartelle, Focused Inbox e regole
Controlla Posta indesiderata, la scheda Altro, Archivio e ogni cartella personalizzata. In Impostazioni esamina regole e Sweep: possono spostare, archiviare, eliminare o inoltrare messaggi. Verifica anche mittenti bloccati e l’inoltro automatico. Microsoft segnala che la gestione completa delle regole può richiedere un computer (controlli per posta mancante).
Controlla spazio e quota
Per Outlook.com, lo spazio cloud Microsoft esaurito può impedire anche la ricezione. Controlla l’indicatore di archiviazione, elimina messaggi con allegati pesanti e svuota Posta eliminata e Posta indesiderata. Se la quota include OneDrive, libera spazio anche lì, quindi esegui nuovamente l’accesso.

Microsoft specifica che le mail inviate mentre la quota è oltre il limite possono essere respinte al mittente e non recuperate automaticamente. Liberare spazio riattiva il servizio, ma non fa ricomparire messaggi che il server aveva già rifiutato. Questa regola riguarda Outlook.com: non va generalizzata a ogni account Exchange, Gmail o IMAP (supporto Microsoft).

Password, autenticazione e account esterni
Il problema può iniziare dopo un cambio password, l’attivazione della verifica in due passaggi, un blocco di sicurezza o una migrazione dall’autenticazione di base a quella moderna. Aggiorna la password quando richiesto e verifica eventuali avvisi di accesso insolito.
Per Gmail, Yahoo, iCloud e provider ISP controlla il tipo di account, i server e le porte indicati dal provider e i requisiti OAuth/autenticazione moderna. Non copiare parametri da guide datate: alcuni servizi non accettano più password semplici per IMAP/POP. Hotmail.com e Live.com, in Outlook classico, devono normalmente essere aggiunti come account Outlook.com e non come Exchange o Microsoft 365 (risoluzione dei problemi di configurazione).

Quando manca una sola e-mail
Chiedi al mittente di verificare l’indirizzo e se ha ricevuto un avviso di mancata consegna. Controlla spam, mittenti bloccati, regole e cartelle. Se non c’è errore e il messaggio non appare nemmeno sul web, potrebbe non essere mai stato consegnato: intervenire sul profilo Outlook non lo farà comparire.

Aggiorna Outlook prima di ricreare configurazioni. Su Mac: Aiuto → Controlla aggiornamenti; l’errore 3253 è associato a una connessione al server fallita o interrotta (guida Outlook per Mac). Un aggiornamento aiuta con bug noti, ma non risolve password, filtri o disservizi.
Se la posta è presente sul server, conosci la password e hai salvato eventuali dati locali, puoi rimuovere e riaggiungere l’account. In Outlook classico, crea un nuovo profilo o valuta la riparazione del file PST solo dopo aver verificato archivi e cartelle locali. Rimuovere un account non equivale a riparare un PST: sono interventi diversi e un archivio locale non sincronizzato potrebbe non essere recuperabile.

Potrebbe essere un problema Microsoft?
Controlla il portale Service Health per account aziendali e la pagina Microsoft dei problemi recenti di Outlook.com. Microsoft ha documentato, tra gli altri, caselle vuote causate da estensioni di Firefox e anomalie dell’indicatore di spazio dopo un acquisto. Prova una finestra privata, un altro browser o disattiva temporaneamente gli add-on. Durante un disservizio generale evita di cancellare profili o account: potresti aggiungere un problema locale a quello del servizio.

Controlla sincronizzazione automatica, modalità offline e risparmio batteria dell’app. Se il webmail riceve regolarmente i messaggi, forza Sync/Invia-Ricevi e verifica la connessione.
Perché la posta arriva sul telefono ma non sul PC?
Il server funziona; sul PC controlla stato Disconnesso, password, tipo di account, filtri e profilo locale.
Devo cancellare e reinstallare Outlook?
No. Prima verifica webmail, rete, quota, regole e autenticazione. Ricrea account o profilo solo dopo aver salvato dati locali.
Cosa succede quando lo spazio Outlook.com è pieno?
La ricezione può bloccarsi e i messaggi inviati durante il superamento della quota possono essere respinti e non recuperabili.

Parti sempre dal webmail: separa in pochi secondi un problema del server da uno dell’app. Poi controlla sincronizzazione, rete, cartelle, quota e credenziali; lascia ricreazione del profilo e riparazione dei dati come ultime risorse.
