If an older Word, Excel, or PowerPoint file opens with a different typeface, changed line breaks, square boxes, or overflowing text, the usual cause is that Windows or Office cannot use the font the file expects. The reliable fix is to identify the exact missing font and style, install or restore it legally, restart Office, and test the file again. For Word and PowerPoint, you can often embed the font; for Excel, you generally need a standardized font environment or a verified PDF.
This guide covers Office 2016, 2013, 2010, and earlier desktop releases. Menu names and font behavior can differ on macOS, newer Office editions, and managed business installations.
The short version
- Record the exact font family and style used by the file.
- Check whether that family member is installed in Windows.
- Install the complete, legitimate font family—or restore the relevant Windows language/font feature.
- Close and reopen every Office application.
- For Word 2016 and PowerPoint 2016, use File > Options > Save > Embed fonts in the file when the font license permits it.
- Test a copy on a computer that does not have the font installed.
- Export and verify a PDF when the recipient only needs to view or print the document.
Do not begin by manually replacing every occurrence of the font. A visually similar replacement can change character widths, pagination, tables, text boxes, chart labels, and slide layouts.

What font substitution actually means
Font substitution occurs when a document requests a typeface that the receiving Windows installation or Office application cannot use, so another available font is used instead. It is not necessarily controlled by one universal Office setting; the result depends on font availability, Windows font handling, the Office application, document content, and the rendering environment.

Several different problems can look alike:

| The entire typeface changes | The requested font or specific family member is missing, unusable, or restricted. |
| Only bold, italic, condensed, or semibold text changes | That particular style was not installed, even though the family is present. |
| Some characters become squares or empty boxes | The font is installed but lacks the required glyphs, or the relevant script support is unavailable. |
| The font appears installed but Office does not load it | The file may be damaged, internally misnamed, duplicated, or in an unsupported format. |
| The text looks similar but wraps differently | The substitute has different metrics—character widths, kerning, line spacing, or ascender and descender heights. |
A document can therefore look almost correct and still be wrong. Warning signs include a résumé moving from one page to two, a table column pushing another column off the page, a PowerPoint heading wrapping to a second line, chart labels being clipped, or a presentation gaining unexpected slide overflow.
Diagnose the failure before changing the file
1. Identify the exact font request
Select affected text and note the font family and style shown in the font control. Check for separate uses of Regular, Bold, Italic, Bold Italic, Condensed, Extended, or other family members. “Helvetica” is not automatically the same as “Helvetica Neue,” and “Arial” is not necessarily the same as “Arial Nova.” Different releases of a family can also have different metrics and licensing terms.
2. Check Windows’ installed fonts
Search the installed-font list for both the family name and the specific style. On older Windows versions this is commonly found through Control Panel > Appearance and Personalization > Fonts; newer Windows releases use the Fonts settings page. Microsoft identifies C:WindowsFonts as the relevant system location. Fonts are installed through Windows, not through an Office-specific installer. See Microsoft’s font installation guidance.

Look for duplicate versions, similarly named fonts, and missing styles. Installing only the regular face will not reliably restore a document that uses a bold or italic member.
3. Test the font outside Office
Open WordPad or another Windows application and check whether the font renders correctly. Then close all Office applications and reopen them after installation. Office may continue using its existing font inventory until it is restarted; a Windows restart may be necessary when the font still does not appear.

4. Check Windows font-folder permissions only as a diagnostic
If Windows cannot load a supposedly valid font, Microsoft recommends checking the Fonts folder permissions with:
icacls C:WindowsFontsUse this command to inspect the situation, not as a reason to change permissions casually. Permission changes can affect the entire system and should normally be handled by an administrator.

- Obtain the font from the original vendor, employer, client, or document creator.
- Do not assume that a similarly named download is the same font.
- Extract the ZIP archive before installing its
.TTFor.OTFfiles. - Install every required style and variant.
- Close and reopen Office, then compare the original layout before editing.
Prefer TrueType and OpenType files for this workflow. Microsoft advises avoiding legacy PostScript files such as .PFB and .PFM for Office font embedding. However, a .TTF or .OTF file is not automatically embeddable; its permissions are separate from its file format.
Fonts removed or hidden after a Windows upgrade
A missing font is not always a deleted font. Microsoft notes that during some Windows 7, Windows 8, or Windows 8.1 upgrades to Windows 10, fonts that had previously been included could move into optional Windows features. Examples include Gautami, Meiryo, Batang, Dotum, Gulim, and Gungsuh families.
Open Windows’ Optional features or language and font settings and add the relevant language/font support. Exact labels and locations vary by Windows release, so search Settings for “optional features,” “language,” or “fonts.” Restart Office and test the original file again. For multilingual documents, installing only a Latin face may not restore CJK, Indic, Arabic, or other script coverage. Microsoft’s missing-font troubleshooting guidance describes this Windows feature issue and applies to Office 2010, 2013, and 2016 among other releases.

Embedding fonts in Word 2016 and PowerPoint 2016
Microsoft’s documented embedding workflow covers Word 2016 and PowerPoint 2016:
- Open the document or presentation.
- Select File > Options.
- Select Save.
- Under the document-preservation or fidelity section, enable Embed fonts in the file.
- Choose whether to embed only the characters used or all characters.
- Save the file, close it, and reopen it.
- Test a copy on a computer where the original font is not installed.
Embed only the characters used keeps the file smaller, but a recipient may be unable to type new characters that were not included. Embed all characters creates a larger file but is the better choice when another person must edit the document or presentation. Microsoft recommends the all-characters option for editing handoffs. Embedding improves portability; it does not guarantee identical rendering across every Office version, operating system, printer driver, or conversion engine. The controlled test—opening a copy without the font installed—is essential.
Excel requires a different strategy
Do not assume that Word and PowerPoint’s embedding controls are available as a universal Excel 2016 feature. An Excel workbook generally remains dependent on the fonts installed in the recipient’s environment.
For an editable workbook, standardize the required fonts on every machine or deploy them through your organization’s approved software-management process. For a layout-sensitive report, dashboard, or printout, export from the correctly configured computer and distribute a verified PDF or other fixed-format output. Keep the original workbook separately for editing.

Embedding is controlled by the font license
Font embedding is both a technical and legal issue. Font files can specify permissions such as:
- Editable: the recipient may view and edit with the embedded font.
- Print and preview: the recipient may view and print, but editing may be restricted.
- Installable: the font may be installed on the recipient’s computer under the font’s licensing rules.
- Restricted/no embedding: embedding is prohibited.
Check the font’s license and embeddability information before embedding or distributing it. Buying a font does not necessarily grant unlimited redistribution. Do not copy a commercial font to every recipient, upload it to a public or shared cloud folder, or convert it to another format to bypass restrictions. Microsoft explains that document embedding permissions do not authorize embedding a font in an application, game, or device, and that conversion does not change redistribution rights. When the font is present but characters are missing
Square boxes do not always mean the whole font is missing. A font may be installed correctly but lack a glyph for a particular CJK character, Arabic or Indic letter, mathematical symbol, currency sign, dingbat, or newer Unicode character. Windows or Office may use a fallback font for that character, or display a box if no suitable glyph is available.
Test the exact characters that fail, not just the Latin alphabet. Confirm that the required language and script support is installed and that the complete script-specific family is available. Publisher’s documentation distinguishes missing fonts from missing characters and discusses automatic substitution for missing East Asian characters; its menus should not be treated as Word or PowerPoint menus. A substitute that looks close can have different character widths, kerning, line spacing, ascender and descender heights, hyphenation behavior, or Unicode coverage. Those differences can change:

- page count and pagination;
- table widths and row heights;
- text-box dimensions and slide overflow;
- chart, SmartArt, and caption labels;
- line breaks and speaker-slide alignment.
If the original cannot be restored, choose a licensed alternative by testing metrics, the complete style family, required scripts, Office 2016 compatibility, and embedding permission—not appearance alone. Make the substitution in a copy and document the change.
Recovery when installation does not work
If Office still substitutes the font:
- Close all Office programs and restart Windows.
- Confirm that the exact style—not merely the family name—is installed.
- Remove duplicate or clearly damaged copies only after preserving the legitimate originals.
- Reinstall the complete family from the rights holder.
- Test the font in WordPad or another Windows application.
- Check whether the file uses a legacy PostScript or malformed font file.
- Open the document under a clean Windows user profile or on a test machine.
- Compare the document with the original source rather than repeatedly editing a version rendered with substitutions.
If embedding is enabled but substitution continues, verify that the font permits embedding, that the file was saved after the option was enabled, that the recipient’s Office version can use embedded fonts, and that another part of the document is not using a different unavailable font. Some fonts explicitly cannot be saved with a presentation.
Use a PDF when visual fidelity matters most
If the recipient only needs to view or print the result, export it from the computer where the correct font is installed. Then open the PDF on another computer and check:

- page or slide count;
- line breaks and pagination;
- tables, text boxes, charts, and symbols;
- multilingual characters;
- print output and clipping.
A PDF is a visual-preservation fallback, not a replacement for an editable Office file. It can still fail to preserve the typeface if the export tool cannot embed the font or the font license prohibits embedding. If a commercial printer is involved, confirm its required PDF standard and font policy before delivery.
