There is no single best productivity app for every Android user. For a capable task manager, start with Todoist; for a free, straightforward task list, try Microsoft To Do; for quick notes, use Google Keep; and for scheduling, use Google Calendar. TickTick combines more planning tools in one app, while OneNote and Notion suit deeper note-taking and custom workspaces.

The best setup is usually one task app, one calendar, and—only if you need it—one notes app. Pick tools that address your actual bottleneck instead of installing several overlapping apps.

Choose by the problem you need to solve

  • Tasks are slipping: Use Todoist for a more configurable task system, or Microsoft To Do for a free, lower-friction list.
  • You keep losing small bits of information: Google Keep is built for quick notes, checklists, reminders, and capture.
  • Your day is overbooked: Plan appointments and protected work periods in Google Calendar. Add a task manager for work that has multiple steps.
  • You want one app for several planning jobs: Try TickTick if you want tasks with calendar and focus-oriented features; choose Notion if your priority is a customizable workspace for documents and databases.
  • Your notes are substantial: OneNote is a better fit for organized class, research, or project notebooks than a quick-note app.
  • Your team needs to see work move through stages: Trello’s boards make workflow status visible. For a company, use the platform your organization supports and administers.

Best apps by category

Todoist: best overall task manager for most workflows

Todoist is a strong default when you want tasks organized into projects without adopting a full project-management suite. Its Android listing describes Quick Add with natural-language entry for details such as dates, labels, reminders, and projects, along with recurring tasks and list, board, and calendar views. For example, you might enter Submit expense report every Friday at 4pm #Work; review the parsed date, time, project, and recurrence before saving, since recognition can vary by language and app version.

Use it for work and personal projects that need next actions, recurring chores, and a way to review tasks from different angles. It is less compelling if all you need is a grocery list or a daily checklist. The app has a free version, but do not assume that every view, integration, or reminder option is included: compare the current Todoist plans before building a workflow around a paid capability. A powerful task system only helps if you keep its inbox and recurring items current.

Microsoft To Do: best free task app, especially for Outlook users

Microsoft To Do is the clearest choice when you want a no-cost task manager and already use Outlook or Microsoft services. Its My Day list offers a daily working view; you can review suggestions, add due dates and reminders, make subtasks, and share lists. Microsoft documents synchronization with Outlook tasks. It is suitable for assignments, household lists, and ordinary recurring work. It is not a substitute for a project system with elaborate dependencies, reporting, or database views. Microsoft’s Android listing describes task attachments up to 25 MB; confirm the current limit in the app if you rely on attachments. Shared-list permissions and synchronization can depend on account configuration, so test them with the people and accounts you intend to use.

Google Keep: best for quick notes and capture

Keep makes it easy to jot down a thought, make a checklist, save a drawing or voice note, add a reminder, and find items later with labels and colors. You can pin, archive, and share notes, and use home-screen widgets for quick access. Google’s Android guide covers these controls. Google’s listing also describes Wear OS tiles and complications; availability and behavior may depend on the current app and device.

Use Keep for shopping lists, short reminders, and ideas you need to capture before they disappear. It becomes awkward when a note needs owners, dependencies, many stages, or a reliable project dashboard. On compatible Android devices, Google documents a dual-pane layout for screens wider than 600 dp in landscape orientation. Keep is not a replacement for a full task manager just because it can hold checklists and reminders.

TickTick: best feature-rich planner

TickTick brings task entry, reminders, widgets, calendar integration, and additional planning features such as habits and focus tools into one product. Its official feature page describes natural-language processing, Google Calendar integration, and widgets. This breadth can suit someone who would otherwise keep separate task, habit, and focus apps.

Before depending on calendar integration, connect your account and test the exact direction of synchronization: create a task, see where it appears, edit it in each place, and check whether changes duplicate or overwrite anything. Also confirm which features are included in the plan you intend to use. TickTick can be more app than a minimalist needs, and the presence of a calendar view does not automatically mean a task has a protected block of working time.

OneNote: best for deep notes and research

OneNote is a digital notebook for material that benefits from notebooks, sections, and pages: lecture notes, research, meeting records, and project references. Microsoft’s OneNote product page describes cross-device note-taking, project organization, sharing, and voice transcription. Its structure is useful when a single stream of quick notes would become hard to search or revisit.

On a phone, notebook navigation is more involved than opening Keep and typing one line. Test how your notebooks and any large attachments behave on your own device, and make sure the account and sync arrangement suits you. OneNote is available as an app, while Microsoft 365 may be worthwhile for the wider Office and storage bundle rather than for OneNote alone. Check the official Microsoft 365 plan page for current regional terms and prices.

Notion: best for a customizable workspace

Notion is best understood as a workspace rather than a conventional to-do list: pages can hold documents, databases, project information, and linked reference material. It suits people who genuinely need a tailored hub, and teams that want documentation alongside project tracking. It is a poor upgrade if your main need is to capture a task in two seconds.

Complex pages and databases can be slower to configure and edit on a small screen than a purpose-built task app. Before migrating important work, test frequently used pages on Android, offline access for the material you depend on, and export options. Workspace export fidelity and plan limits can change, so review Notion’s current pricing and plan details rather than relying on an old comparison.

Google Calendar: best for scheduling and time blocking

Calendar is the right tool for appointments, deadlines that happen at a particular time, recurring events, and reserving realistic work periods. A due date and a time block are different: a task due Friday says when it must be finished; a calendar block says when you intend to work on it. A calendar full of blocks is not automatically a workable plan, so leave room for travel, breaks, and unexpected work.

Calendar generally works best alongside a task list for projects and next actions. If you use TickTick or Todoist views with calendar features, check what is a task, what is an event, and whether changes sync in one direction or both before trusting the setup.

Trello: best for visual team projects

Trello’s boards, columns, and cards make it easy to see a workflow such as To do → Doing → Done. That visual model works well for editorial calendars, small team projects, and processes where status matters. Cards can carry task details and attachments, while team members can use the board as a shared view of progress.

A Kanban board is not the quickest place to capture every personal reminder, and it may require extra setup for recurring tasks, notifications, and dates. For an organization, check access controls, guest permissions, activity history, and any required administrative features against current Trello plans. Don’t treat a shared personal list as equivalent to a governed team project system.

Useful app combinations

  • Free and simple: Google Keep for notes and lightweight lists, plus Google Calendar for appointments.
  • Task-first: Todoist for projects and next actions, with Google Calendar for appointments and time blocks.
  • Microsoft-based: Microsoft To Do for tasks, OneNote for reference and research, and Outlook for mail and calendar if that is already your work setup.
  • Study setup: OneNote for class material, Microsoft To Do or Todoist for assignments, and a calendar for exams and study sessions. Keep can capture quick reminders without becoming the class archive.
  • One planning hub: TickTick if execution, reminders, and planning features matter most; Notion if documents, databases, and customization matter most.
  • Team workflow: Trello for visible stages, or the project tool your company already supports. Keep communication and task ownership clear rather than relying on chat alone as the project record.

Limit overlap. If the same task lives in three apps, it is more likely to be missed or duplicated. Give each app a job, and decide where the authoritative version of a task or note lives.

Which app fits your kind of work?

  • Students: OneNote for structured notes and research; a task app for deadlines; Calendar for exam dates and study blocks. Notion can work for students who want to maintain a custom dashboard, but it is not mandatory.
  • Google users: Keep plus Calendar is a light capture-and-scheduling setup. Add a dedicated task manager if projects need recurring steps, priorities, or stronger organization.
  • Microsoft 365 users: Start with To Do and Outlook for tasks and schedule, and OneNote for richer material. Microsoft’s setup guide explains how To Do connects with Outlook; verify you are using the intended account.
  • Families: A shared To Do list can cover chores and errands; shared calendar events handle appointments. Choose one shared place for each kind of information.
  • Freelancers: Todoist can organize client and recurring work; Calendar protects work time. If client work requires shared status, files, and permissions, use a team-capable project workspace instead of a personal list.
  • Remote teams: Trello or an organization-approved tool can make project status visible. Select based on permissions, comments, notifications, history, and export—not just a pleasant board interface.
  • People distracted by notifications: A focus timer such as Forest can help bound a work session, but it will not decide what to work on. Android’s Do Not Disturb and notification controls are free alternatives; silence nonessential alerts and keep only reminders you need.
  • Privacy-conscious users: Compare account requirements, storage, encryption disclosures, and export before entering sensitive information. None of the listed cloud services should be assumed private or offline simply because it is a productivity app.
  • Tablet and Wear OS users: Keep has documented tablet dual-pane behavior and Wear OS tiles/complications. For other apps, check the current listing and test widgets, landscape layout, stylus input, notification actions, and watch support on your specific devices.

Android setup: make reminders and capture dependable

  1. Install only the tools you will use. Open Google Play, search for the app, and tap Install. Check the publisher and current listing before signing in.
  2. Put capture within reach. Add the app’s widget if useful, and test Android’s share sheet so you can send a web page, image, or text into the right notes or task app. Widget and share options vary by app and launcher.
  3. Allow the notifications you depend on. In Android Settings, open the app’s notification settings and enable the relevant categories. Labels vary by Android version and manufacturer.
  4. Review battery and background restrictions. If a reminder arrives late, check the app’s battery usage or background activity settings. Some phones apply additional vendor battery management. Changing these settings can improve timely alerts but may increase background battery use.
  5. Test a reminder rather than assuming it works. Create a test reminder a few minutes ahead, lock the phone, and confirm that it appears. Repeat on Wi-Fi and mobile data if the task depends on synchronization.
  6. Check offline behavior before travel or class. Test separately whether you can view existing items, create or edit them offline, and see those changes sync after reconnection. Cross-device sync does not guarantee instant updates or identical offline behavior.
  7. Control alert volume. Use app notification categories, scheduled quiet periods, or Do Not Disturb so that useful deadlines are not buried among low-value pings.

Free versus paid: when an upgrade makes sense

“Free” can mean free installation, a free core app, or a limited tier that omits the feature you need. Microsoft To Do is described as free; Google Keep is free to install and uses Google’s account and services. Todoist offers a free version as well as paid plans, while TickTick, Notion, and Trello have plan boundaries that should be checked directly. Do not choose based on an old price or a feature list from another country.

Consider paying only when a specific limitation is costing you time: for example, a needed planning view, integration, collaboration capability, larger workspace, or history feature. A subscription does not create a habit or make an overfilled plan realistic. If you are comparing Microsoft 365 for OneNote, assess the full bundle—such as Office apps and cloud storage—rather than paying for a suite solely because the note app is installed. Prices, promotional terms, trial conversions, and app-store billing can vary by country and change; use the vendor’s current official plan page before subscribing.

Privacy, offline use, and leaving an app

Before storing sensitive material, check whether the app requires an account, where the provider says data is stored, how it describes encryption, what can be exported, and whether attachments and shared permissions can move with you. Microsoft says Microsoft To Do data is encrypted at rest on Exchange servers and in transit, and that To Do synchronizes through Microsoft’s Tasks API; see its support documentation. That is a vendor disclosure, not a complete independent privacy audit.

Google Play data-safety information is supplied by developers and can vary by region, user age, and declaration; it should not be treated as an independent security certification. For any cloud app, test offline viewing, offline editing, and later synchronization separately. Before moving a mature system, export a sample and check whether recurring schedules, attachments, comments, and sharing details survive. Keep a backup of important information outside a single app when its loss would matter.
